The City of Solon has an opening for the full-time position of Department Head Secretary in the Planning Department. The Department Head Secretary performs advanced clerical, secretarial, and administrative work within the Planning and Community Development Department, with support to the Building Department as needed. This role requires independent judgment, strong organization, and the ability to manage a wide range of administrative tasks.

Key Responsibilities
  • Coordinate office operations, procedures, and records
  • Administer the Residential Rental Occupancy Permit Program
  • Prepare correspondence, reports, and meeting materials
  • Answer phones, assist visitors, and respond to inquiries
  • Schedule appointments and support department leadership
  • Maintain financial records, files, and departmental archives
  • Manage supplies, mail, and internal databases
  • Assist the Building Department with administrative tasks
Additional Duties
  • Attend and record minutes for meetings (including evenings as needed)
  • Provide backup support to other clerical staff
  • Perform other duties as assigned
Qualifications
  • High school diploma or GED required
  • Minimum 2 years of office experience (municipal experience preferred)
  • Proficiency in Microsoft Office and basic GIS preferred
  • Strong communication, organization, and time management skills
  • Ability to handle confidential information and meet deadlines
Requirements
  • Valid driver's license (or ability to obtain)
  • Regular, reliable attendance
This position offers a starting rate of $25.1748/hour. City benefits include medical, prescription, dental, and vision. In addition, benefits include membership in the Ohio Public Employer's Retirement System, life insurance, vacation, sick leave accruals and select paid holidays.
