Reports To:Adult Education Coordinator
Definition:Under general supervision from Building Principal provides advanced administrative support for the Adult Education Program and its implementation within the Somerton School District No. 11.

Tasks- Maintain accurate and up-to-date waitlist; intake of students; create, maintain, and keep secured student files with all required documentation.
- Track, collect, and maintain accurate student data; monitor weekly student attendance, contacting students as needed; provide program orientation to students; maintain key log.
- Execute recruitment strategies and referrals to other agencies.
- Monitor staff attendance and arrange substitutes as needed; report absences; ensure staff submit time sheets for coding and signature.
- Keep track of program budget and report updates to Coordinator.
- Keep updated program documentation and prepare paperwork for staff’s travel requests including hotel and car reservations and conference registration.
- Prepare correspondence, memos, flyers and letters; maintain Facebook page; translate information to students; greet visitors, staff and students in a friendly manner; answer phones; schedule appointments for Coordinator.
- Order and track program inventory of technology, furniture, curriculum materials; keep all program’s office and computer files organized and accessible to Coordinator and program staff.
- Maintain supply room for staff; submit and follow up on work orders; process PARs; perform outcome call lists.
- Arrange student test times; proctor tests as needed.
- Assist Coordinator as needed with opening and/or closing of school; requisition supplies requested from staff and Coordinator; prepare venues for graduation activities; and perform related duties as assigned.
- Must be willing to travel and attend training and conferences as needed.
- Knowledge of District, school, and Adult Education Program policies and procedures.
- Knowledge of student registration procedures and methods.
- Knowledge of reception and telephone etiquette and techniques.
- Knowledge of administrative support and record-keeping techniques.
Knowledge of standard office practices, principles and methods. - Skilled in the use of a personal computer and related software.
- Skilled in English composition, grammar, spelling and punctuation.
- Skilled in verbal and written communication.
- Skilled in following oral and written instructions.
- Skilled in establishing and maintaining effective working relationships.
- Skilled in office organization and tidiness.
Work is performed in an indoor/outdoor environment. Work requires frequent standing, walking, sitting, repetitive motion and vision to monitor. Some positions may require bending and lifting up to 25 pounds.
Qualifications- High School Diploma or equivalent, and three (3) years administrative support experience.
- Associate's degree preferred.
- Experience working in a school setting is preferred.
- Bilingual preferred.
- Fingerprint Clearance Card (IVP) required at the time of hiring.
