Job Title

Under general supervision, provides advanced administrative support for a school and School Principal within the Somerton School District No. 11.

Tasks include:

  • Registering students and placing them into rooms following guidelines; filling out required paperwork and filing; requesting information from and sending information to student records; printing out reports; monitoring daily student attendance; taking absence information over the phone, by note or in person; reporting student attendance via computer to District and state; reporting truancies to state; running specialized reports regarding attendance.
  • Monitoring staff attendance and processing leave request forms; reporting absences; assigning substitutes; preparing time documentation for substitutes; informing staff of absences; preparing school payroll and submitting to District office; assigning duties for absent staff; inputting and retrieving payroll reports for District and school; some positions may prepare work assignments, train employees and review work for completion.
  • Preparing correspondence, memos, flyers and letters; translating information to parents; greeting visitors, staff and students; answering phones, scheduling appointments for Teachers, parents and Principal; ordering and tracking inventory of uniforms; verifying money, records and deposits for student activities; preparing schedule for special classes.
  • Assisting Principal, Teachers, Directors and others as needed; assisting with opening and closing of school each year; preparing end of year reports; requisitioning supplies requested from staff and Principal; administering student discipline as needed in the absence of Principal; and performing related duties as assigned.

Knowledge, skills and other characteristics include:

  • Knowledge of District and school policies and procedures.
  • Knowledge of student registration procedures and methods.
  • Knowledge of reception and telephone etiquette and techniques.
  • Knowledge of administrative support and record-keeping techniques.
  • Knowledge of standard office practices, principles and methods.
  • Skill in the use of a personal computer and related software.
  • Skill in English composition, grammar, spelling and punctuation.
  • Skill in verbal and written communication.
  • Skill in following oral and written instructions.
  • Skill in establishing and maintaining effective working relationships.

Physical requirements include frequent standing, walking, sitting, repetitive motion and vision to monitor.

Qualifications include a High School Diploma or equivalent, and three (3) years administrative support experience. Fingerprint Clearance Card (IVP) required at the time of hiring.
