The Senior Executive Operations Associate provides high-level, strategic administrative and operational support to leadership, enabling them to focus on organizational priorities and business-critical initiatives. This role requires a high degree of professionalism, discretion, and independent judgment in managing leadership workflows, coordinating complex activities, and supporting cross-functional efforts.
Operating with autonomy, anticipates leadership needs, evaluates competing priorities, and contributes to the effectiveness of leadership decision-making through strong organizational, communication, and project coordination skills.
Essential Duties and Responsibilities Leadership Support & Priority Management- Provide advanced support to leadership, exercising discretion in managing schedules, meetings, and time-sensitive priorities.
- Assess and resolve calendar conflicts based on business impact, urgency, and organizational objectives.
- Prepare leadership materials, briefing documents, and meeting support resources to facilitate informed decision-making.
- Track action items and deliverables across leadership initiatives to ensure timely follow-through.
- Serve as a key point of contact between leadership and internal/external stakeholders, ensuring professional and effective communication.
- Draft and manage correspondence on behalf of senior leaders with attention to tone, confidentiality, and organizational alignment.
- Coordinate meeting logistics, develop agendas, document outcomes, and support execution of next steps.
- Support planning and execution of leadership-level events, leadership meetings, training programs, and corporate initiatives.
- Coordinate special projects requiring cross-functional collaboration, timeline management, and proactive problem-solving.
- Assist with on-site workshops and organizational activities as needed.
- Manage leadership travel planning, itineraries, and related arrangements with minimal direction.
- Oversee expense reporting and reimbursement submissions, ensuring accuracy, timeliness, and compliance with company policies.
- Recommend and implement process improvements to enhance efficiency in leadership office operations.
- Provide backup support for Somerville, MA office operations, including vendor coordination, supplies oversight, and facility-related needs.
- Ensure office processes align with organizational standards and support a productive work environment.

Education and Experience
- Bachelor’s degree in Business Administration, Management, or a related field required (or equivalent experience).
- Minimum of 6+ years of progressively responsible leadership-level support experience required.
- Demonstrated ability to manage complex priorities, exercise independent judgment, and support senior leaders in a fast-paced environment.
- Experience working across global time zones and coordinating with distributed teams preferred.
- Strong written and verbal communication skills with leadership presence.
- Advanced organizational skills, attention to detail, and ability to manage sensitive information with discretion.
- Willingness to adjust to changing priorities and work environments within a fast-paced atmosphere.
- Proficiency in Microsoft Office Suite, Google Workspace, and enterprise collaboration tools.
- Familiarity with healthcare systems, regulations, and terminology is often preferred, especially for roles in healthcare organizations.
- Maintains strict confidentiality and professionalism in all interactions.
- Communicates, cooperates, and consistently functions professionally and harmoniously with all levels of supervision, co-workers, visitors, and vendors.
- Demonstrates initiative, personal awareness, professionalism and integrity, and exercises confidentiality in all areas of performance.
