Overview
Position:
Office Services Recorder in Owen County, Indiana. Status:
Part-time, Non-exempt.
Schedule:
8:00 a.m.
- 4:00 p.m., days vary. FLSA:
Non-exempt.
Incumbent serves as Part-Time Deputy for the Owen County Recorder's Office, responsible for recording documents, accounting procedures and preparing reports.
Responsibilities- Record and maintain files of documents, including county land records, deeds, mortgages and other documents.
- Perform basic accounting/bookkeeping procedures, including balancing cash receipts and deposits, preparing bank deposits, and reconciling bank statements.
- Prepare and print regular and annual financial reports.
- Answer telephone and assist office visitors, respond to inquiries, provide information and assistance, take messages, and/or direct calls to the appropriate person or department.
- Assist the public with research, access, and copies of all public records.
- Perform clerical duties, such as processing incoming/outgoing postal mail. Perform related duties as assigned.
- High school diploma or GED.
- Working knowledge of standard practices, policies, and legal requirements of Recorder's office, with ability to properly record and index documents.
- Working knowledge of standard office policies and procedures and ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.
- Working knowledge of standard English grammar, spelling, and punctuation and ability to prepare correspondence and reports, as required.
- Working knowledge of standard bookkeeping practices and principles and ability to count, perform arithmetic calculations, and prepare bank deposits.
- Working knowledge of basic filing systems and ability to create and maintain accurate and complete Department files.
- Ability to provide public access to, or maintain confidentiality of, department information and records according to state requirements.
- Ability to comply with all employer and department policies and work rules, including attendance, safety, drug-free workplace, and personal conduct.
- Ability to effectively communicate orally and in writing with co-workers, other County departments, and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities.
- Ability to compare or observe similarities and differences between data and classify data.
- Ability to read/interpret detailed prints, legal descriptions, and maps, as required.
- Ability to operate standard office equipment, including computer, keyboard, scanner, and copier. Ability to read, understand, memorize, retain and carry out oral and written instructions.
- Ability to work rapidly for long periods of time with minimal supervision.
Incumbent performs a variety of duties according to a flexible, customary routine. Incumbent receives indirect or occasional supervision and decisions are always determined by specific instructions or existing well-established policies and procedures. Errors in incumbent's work are primarily prevented or detected through prior instructions from supervisor or supervisory review. Undetected errors could result in loss of time to correct error.
Personal Work RelationshipsIncumbent maintains frequent contact with co-workers, other County departments, and the public for the purposes of giving and receiving information. Incumbent reports directly to the Recorder.
Physical Effort and Work EnvironmentIncumbent performs duties in a standard office environment, involving sitting/walking at will, sitting for long periods, handling/grasping/fingering objects, keyboarding, lifting/carrying objects weighing under 25 pounds, close vision, and hearing and speaking clearly.
