SUMMARY:The Administrative Assistant provides administrative and organizational support to ensure the efficient operation of the front office & support to HR. This position handles daily office tasks, schedules appointments, maintains records, communicates with clients and staff, and assists management with various administrative duties.
RESPONSIBILITIES:- Answer phone calls, emails, and general inquiries professionally.
- Schedule meetings, appointments, and manage calendars.
- Prepare, organize, and maintain documents, records, and reports.
- Perform data entry and maintain accurate databases and filing systems.
- Coordinate office supplies, equipment, and general office needs.
- Assist with correspondence, presentations, spreadsheets, and other documents.
- Assist new employees with the onboarding process and schedule onboarding training
- Assist with some timekeeping and attendance items
- Welcome visitors and provide customer service as needed.
- Process invoices or other administrative paperwork.
- Coordinate meetings, travel arrangements, and office events when required.
- Help coordinate employee meetings, training sessions, and HR events including monthly Perfect Attendance plans
- Support managers and team members with day-to-day administrative tasks.
- Maintain confidentiality of company and employee information.
- Maintain petty cash and monthly reporting
- Maintain and manage employee reward program
- Perform other duties as assigned.
EDUCATION:
- Previous administrative or office experience preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office, Google Workspace, or similar software.
- Ability to multitask and prioritize competing responsibilities.
- Strong attention to detail and accuracy.
- Professional, dependable, and customer-service oriented.
