Job Summary

The Clinic Assistant Level 2 demonstrates proficiency in one of the following functional roles:
Transcription or Surgery Procedure Schedules. In addition to the tasks and responsibilities of Clinical Assistant I, this position requires a strong understanding of assigned workflow, systems, and responsibilities. The role supports clinical efficiency, enhances the patients’ experience, and ensures effective communication between providers, patients, and teammates.

Essential Functions &

Job Duties
  • Transcription – EMR Documentation Duties
    • Transcribe and edit physician notes, exams, and plans in real‑time or from dictation.
    • Enhance physician efficiency by accurately transcribing and editing dictated notes, medical reports, and correspondence.
    • Collaborate with POD teammates to ensure smooth clinic operations and excellent patient care.
    • Accurately enter clinical data, orders, and billing information into the EMR.
    • Maintain HIPAA compliance and ensure documentation accuracy.
    • Handwrite notes for later data entry if needed.
    • Assist with clerical and limited patient‑facing support.
    • Compliance with policies and procedures and actively promote a collaborative clinic culture.
    • Perform other duties as assigned.
  • Procedure Surgery Scheduling Duties
    • Coordinate surgical and clinic appointments, including pre‑ and post‑operative visits.
    • Collaborate with POD teammates to ensure smooth clinic operations and excellent patient care.
    • Maintain physician calendars and ensure accurate documentation of scheduled surgery procedures in EMR or other platforms.
    • Maintain HIPAA compliance and ensure documentation accuracy.
    • Communicate with patients about surgical logistics and answer related questions.
    • Display professional and timely communication with representatives of vendors.
    • Obtain and manage relevant records (labs, imaging, referrals).
    • Support clinical teams by facilitating interdepartmental communication and coordinating pre‑op requirements.
    • Provide check‑out support, schedule follow‑ups, and respond to patient messages.
    • Perform other duties as assigned.
Skills And Abilities
  • Excellent verbal and written communication skills.
  • Strong interpersonal and teamwork skills with a calm, respectful demeanor.
  • High level of accuracy and attention to detail.
  • Solid time management and organizational skills in a fast‑paced environment.
  • Demonstrated ability to use sound judgment in unexpected or high‑stress situations.
  • Proficiency in medical software and computer systems; preferred typing speed of 50+ WPM.
  • Knowledge of medical terminology; familiarity with ICD‑10/CPT codes preferred.
  • Ability to work independently and take initiative.
Physical and Mental Demands
  • Regularly required to sit, stand, and walk up to 8+ hours/day.
  • Frequent bending, reaching, and repetitive hand movements (especially typing/writing).
  • Ability to work at a computer for extended periods.
  • Must be able to lift up to 30 lbs, occasionally assisting patients with team support.
  • Must communicate clearly and professionally with patients, families, and team members.
  • Must manage occasional stress from workload or patient care demands.
Working Conditions
  • Primarily in a clinical office setting.
  • Frequent use of computers, phones, and standard office equipment.
  • Occasional exposure to distressed patients or urgent care scenarios.
  • May require travel between clinic locations or surgery centers.
  • Must manage frequent interruptions and shifting priorities.
Standard Qualifications

Education: High School Diploma or equivalent required.
Experience: Minimum 2 years of office or clinical experience preferred. Medical terminology and EMR experience are strongly preferred.
