Job Summary

Under limited supervision, the Office Manager plans and directs the daily operations of the Department of Languages, Literatures, and Cultures’ main office that supports over 66 full‑time faculty, various part‑time temporary faculty, approximately 40 GAs, and five classified staff. Responsible for training, scheduling, and supervising work‑study students; coordinates and plans equipment repairs and purchases; responds to student inquiries; and supports the Assistant to the Chair.

Responsibilities
  • Interview, hire, train, and supervise departmental work‑study students, including hiring decisions, pay setting, disciplinary actions and time approval.
  • Manage departmental space assignments, office moves, and equipment (computers, copy/fax machines).
  • Handle phone calls, student, faculty, and staff inquiries and complaints, maintaining professional dialogue.
  • Administer VISA card purchases, interpret purchasing policies, monitor activity, and supply billing reports.
  • Plan, coordinate, purchase, and maintain inventory of departmental supplies; process purchase requisitions and invoices.
  • Maintain central file room, evaluate files, prepare for short‑ and long‑term storage, and dispose in accordance with policies.
  • Support the Curriculum Coordinator and Chair with scheduling, student issues, and administrative tasks.
  • Assist with LING program material and supply purchases, maintain records, and oversee space assignments.
  • Perform other duties as assigned.
Minimum Required

Education and Experience
  • High school diploma or GED.
  • One or more years of job‑related experience.
Preferred Qualifications
  • Experience in budgeting, purchasing, and modern office practices.
  • Ability to work with frequent interruptions, pay attention to detail, meet deadlines, and remain calm under stress.
  • Professional, courteous, and helpful manner, maintaining confidentiality of sensitive issues.
  • Pursuit of knowledge of USC policies, purchasing, VISA, and other online systems.
  • Working knowledge of computers, Microsoft Office, and Adobe.
Knowledge, Skills, and Abilities
  • Ability to develop and maintain effective working relationships within the department and with external partners/vendors.
Work Schedule

Monday – Friday 8:30 a.m. – 5:00 p.m.; flexible schedule may be required.
