Position TitleOperations & Communications Manager
Position SummaryUnder the general direction of the Executive Director, this position is responsible for ensuring efficient office operations and providing program assistance in SCWF’s conservation, education and development sectors, as well as internal and external coordination and communications between SCWF staff, board of directors, donors, partners, and the general public.
Location:
Based in SCWF’s office in Columbia, SC, with the option of working remotely up to two days per week after the 30-day introductory period.
Full-time, 40 hours per week, Monday through Friday, 9am-5pm, with infrequent evening and weekend hours to support the organization's education and fundraising events. Personal vehicle will be needed for occasional in-state travel, with mileage reimbursed. Competencies in CRM donor databases, gift processing, accounts payable, marketing and communications, e-newsletters, blog posts, public & media relations, office management, event registration, and website editing.

- Self-motivated, outstanding organizational skills, ability to prioritize, multi-task, and meet deadlines
- Proficiency with Microsoft Office (Outlook, Word, and Excel), including mail merge functions, Google Drive, Word Press, Canva, Zoom, and social media platforms for business accounts
- Ability to communicate in a professional manner, provide excellent customer service, have a positive attitude, and work independently as well as within a team
SCWF offers a competitive non-profit sector salary for this position of $35,000-$45,000, determined by qualifications and experience. Opportunity for increased salary based on performance. Benefits include a progressive vacation policy and paid sick leave. Health/dental/vision insurance is available after 30 days of employment – SCWF pays a portion of premiums. Eligible to participate in SCWF’s retirement plan after one year of employment.
PrimaryDuties Operations
- Develop, maintain, and update operations manual, including procedures for essential office functions
- Assume receptionist duties, greeting visitors and referring them to appropriate staff, answer phone, route calls, and take messages
- Process and distribute incoming mail and prepare outgoing mail, including bulk mailings
- Assist with accounts payable: track credit card receipts, direct invoices to bookkeeper, process payments
- Provide tech support to staff to ensure efficiency and adherence to cybersecurity policies
- Assure office suite is clean and tidy, well-stocked and prepared for visitors and meetings
- Order office supplies and monitor inventory
- Maintain inventory of merchandise, mailing out orders and purchasing more as needed
- Ensure office machines are in proper working order, calling support technicians as needed
- Assist with administrative and logistical duties associated with programs, classes, and events
- Develop and coordinate overall communications strategy to ensure publicity of all programs and events
- Manage brand consistency for all departments
- Coordinate social media engagement and enhance social media strategy
- Communicate regularly with donors – e-newsletters, thank you letters, tax receipts, etc.
- Execute a press strategy to broaden awareness of SCWF and educate about wildlife
- Arrange for education event advertisements and registrations, maintain participant database, and ensure communications with participants
- Attend Board meetings and ensure accurate records are kept and accessible to board members
- Maintain CRM donor database, cataloging all details for future contacts
- Manage Accounts Receivable: scanning checks and preparing bank deposit, entering contributions in database
- Manage donor solicitations and renewal mailings
- Create, design and update all online giving/registration webpages
- Produce mailing labels and reports as requested
- Coordinate team meeting schedule and quarterly team-building outings
- Represent SCWF at meetings, conferences, classes, etc.
- Maintain appropriate interpersonal relationships with employees, peers, and donors
- Support team with daily tasks and long-term projects as requested
- Other duties as assigned
