Job description:
- Prepare, edit, format, and proofread legal correspondence, pleadings, and litigation documents.
- Maintain accurate and organized electronic and physical case files.
- Perform electronic filing in federal, state, and local court systems.
- Manage discovery documents, including downloading, uploading, organizing, and tracking productions.
- Handle incoming and outgoing mail, document productions, and file management.
- Schedule meetings, depositions, and court-related events; maintain attorney calendars.
- Communicate professionally with clients, courts, vendors, and internal team members via phone and email.
- Assist with trial preparation, including document organization and exhibit management.
- Support client billing processes, monitor accounts receivable, and assist with collections as needed.
- Process expense reports, perform conflict checks, and open and close client matters.
- Minimum of 35 years of experience supporting attorneys in a litigation environment.
- Prior experience in civil defense litigation is required.
- Strong knowledge of court filing procedures and litigation workflows.
- Advanced proficiency in Microsoft Word, Excel, and PowerPoint.
- Experience with document management systems such as iManage, File Site, Dropbox, and/or One Drive preferred.
- Excellent written and verbal communication skills, including strong grammar and proofreading ability.
- Exceptional organizational skills and attention to detail.
- Ability to manage high-volume workloads and meet tight deadlines independently.
- Strong initiative, professionalism, and work ethic.
