Job Summary: A. James Global Services, Inc. is seeking a detail-oriented Administrative Assistant with strong Accounting/Quick Books experience to support the Company with accounting cleanup, financial organization, and administrative functions. This role focuses on Quick Books cleanup, reclassification of expenses, and proper setup of vendors, customers, and projects.
Key Responsibilities:
- Administrative Support
- Maintain financial files and documentation
- Assist with invoice tracking
- Support timesheet and project coding
- Assist with report preparation
- Perform data entry and reconciliation support
- Provide general administrative and clerical support
- Answer phones and manage email correspondence
- Maintain electronic and paper filing systems
- Assist with contract and proposal documentation
- Schedule meetings and manage calendars
- Maintain office supplies and vendor coordination
- Quick Books Cleanup & Organization
- Clean up and reorganize Quick Books data
- Reallocate expenses to correct chart of accounts
- Reclassify transactions by project and/or class
- Assist with correcting historical accounting entries
- Review uncategorized transactions and assign proper coding
- Maintain consistent account structure
- Accounting Support
- Prepare journal entries for Finance Manager review
- Assist with month-end cleanup and organization
- Set up vendors, customers, and projects properly in Quick Books
- Maintain chart of accounts structure as directed
- Assist with accounts payable and accounts receivable tracking
- Support expense tracking and cost allocation
Requirements
- Experience cleaning up Quick Books files
- Understanding of chart of accounts
- Experience with class and project tracking
- Experience with journal entries
- Strong attention to detail
- Strong organizational skills
- Ability to follow accounting direction
- Strong communication and interpersonal skills
Preferred Qualifications
- Government contracting experience (preferred)
- Project-based accounting experience
