Position: Administrative Assistant for Academic Affairs
Location: Columbia

Administrative Assistant for Academic Affairs

Spartanburg, SC – USC Upstate campus

Salary: $36,608 – $41,137 (based on education and experience)

Work Schedule:

Monday – Friday, 8:30 am – 5:00 pm; occasional evenings and weekends as needed.

Responsibilities
  • Provide front‑desk and office support for Academic Affairs, including greeting visitors, answering phones, handling mail, and responding to routine inquiries.
  • Assist Academic Affairs centers and staff with routine administrative tasks such as ordering supplies, scheduling meetings, processing receipts and deposits, and preparing basic reports.
  • Coordinate meetings and events for Academic Affairs, designated centers, and Faculty Governance Committees—scheduling rooms, arranging catering, tracking RSVPs, preparing materials, and managing travel arrangements.
  • Support HR-related actions in HCM People Soft and People Admin for new hires, rehires, adjunct and affiliate appointments, and dual appointments.
  • Assist the HR Coordinator during peak workload periods and handle routine faculty, staff, and student HR support.
  • Maintain Academic Affairs social media pages and update content as directed.
  • Serve as a liaison for communications on behalf of Academic Affairs.
  • Perform additional related administrative duties as assigned.
Qualifications
  • High school diploma or GED required.
  • Minimum 1 year of related administrative experience.
  • Bachelor’s degree and 2 years of administrative experience (or equivalent) preferred.
  • Spanish language proficiency preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational, multitasking, and problem‑solving abilities.
  • Ability to work independently, manage interruptions, and maintain high detail in a fast‑paced environment.
  • Successful background check required.
