GENERAL DESCRIPTION

The purpose of this position is to assist the public in matters dealing with probate issues including but not limited to estates, trust, conservatorships, guardian ships, mental health/chemical dependency among other things. Recording marriage licenses and performing marriage ceremonies is another large aspect of this job position. This job requires confidentiality due to handling mental health paperwork. Primary function will be all aspects of marriage license.

All employees work at the pleasure of the probate judge.

ESSENTIAL JOB DUTIES
  • Data entry for all estates and keeps all data current in Court Software (CMS).
  • Calculates all fees pertaining to marriage licenses issued.
  • Is responsible for assisting the public with marriage license applications and issuance.
  • Constructs letters, bills, receipts, etc. to the public and attorneys as needed.
  • Maintains and manages scheduling of appointments.
  • Assists the public and attorneys by phone and in person.
  • Serves as the main contact of the Probate office, taking marriage license information, answering the phone, responding to emails, assisting in title searches, locating files, and making copies. Maintains the security of all probate files.
  • Entres data of old marriage license records.
  • Is responsible for retaining proof of legal ads in local newspaper as they pertain to creditors and debtors.
  • Processes and enters data for creditors and debtors of estates. Provides proof of receipts to creditors and debtors.
  • Processes and maintains mental health records and keeps them secure.
  • Balances and records the petty cash drawer daily.
  • Maintains confidentiality.
  • Performs marriage ceremonies, as needed.
  • Assists the Probate Judge with daily tasks.
  • Schedules meetings and appointments for the Probate Judge and records key information during meetings, when needed.
  • Orders office supplies when necessary and maintains stock of office supplies.
  • Enters estate inventories into CMS with accuracy.
  • Prepares paperwork and creates filing systems.
  • Collects paperwork for Estates, Guardian ships and Marriage's from the public. Records, files, and scans documents in a timely manner.
  • Completes daily deposits for the Treasurer's office.
  • Sends notices to creditors for local newspaper ads weekly.
  • Creates accurate monthly reports to the SC Court Administration.
  • Performs other related duties as assigned by the probate judge and/or other supervisor(s).

Ability to communicate effectively orally and in writing.

Proficient office skills.

Knowledge of policies and procedures for preparing probate paperwork.

Knowledge of SC Probate Code of Laws.

Knowledge of the SC Code of Judicial Conduct.

EDUCATION AND EXPERIENCE

High School Diploma or equivalent, and six (6) months of related work experience; or an equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities.

LICENSES, CERTIFICATIONS, OR REGISTRATIONS

Required
: SC Notary or ability to obtain.

Preferred
: judicial continuing education courses/seminars when required.

PHYSICAL DEMANDS

The work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.

This position has the following special vision requirements: close vision (clear vision at 20 inches or less); distance vision (clear vision at 20 feet or more); color vision (ability to identify and distinguish colors); peripheral vision (ability to observe an area that can be seen up or down and to the left and right when vision is fixed on a given point);

depth perception (three-dimensional vision, ability to judge distances and spatial relationships); adjust focus (ability to adjust the eye to bring an object into sharp focus).

WORK ENVIRONMENT

Work is performed in a relatively safe and secure indoor office environment; may encounter noise or dust.
