Administrative Coordinator

The Office of Statewide Workforce Development (OSWD) is seeking an Administrative Coordinator to serve as a critical partner to the OSWD Director, staff, and the SC Coordinating Council for Workforce Development (CCWD). This is not just a support role—you will be the operational backbone of our executive team, managing a diverse portfolio of projects, leading high-profile event logistics, and ensuring seamless communication across council leadership.

This role assists by coordinating the portfolio of projects and initiatives identified by the CCWD, as well as communicates, coordinates, and facilitates projects and information directly for and on behalf of the OSWD director and staff. An ideal candidate will have initiative; ability to adapt, analyze and solve problems; excellent customer service skills; exercise good judgment; and collaborate effectively with others.

Activities include creating reports and presentations; conducting research; coordinating meetings and related logistics; preparing and drafting office correspondence, to include meeting minutes; maintenance of staff calendars; travel coordination and reimbursement; office supply purchasing; and tracking of correspondence and assignments. Demonstrate a high level of attention to detail, strong organizational skills, and excellent communication skills.

Key Responsibilities

  • Maintain appointment calendar, coordinate meetings, and prepare and distribute meeting materials.
  • Prepare internal and external written communications; transcribe, edit, and assign deadlines for a variety of written materials including but not limited to executive summaries, letters, briefing materials, and communications.
  • Provide logistical support for daily activities.

Office Management

  • First point of contact for inquiries on policies, procedures, or CCWD-related matters.
  • Review incoming correspondence and respond appropriately.
  • Arrange in-state and out-of-state travel.
  • Maintain leave calendar, office supplies, equipment, and furniture needs.
  • Attend and participate in professional development and training opportunities.

Event Planning and Meeting Execution

  • Manage logistics and correspondence for the CCWD meetings and OSWD.
  • Assist with specialized and confidential duties.
  • Serve as the strategic events lead for programmatic planning and logistical support.
  • Provide event briefing materials and develop event scripts, itineraries, and agendas.
  • Work with planning and assessment to prepare analysis of event feedback, to include meeting minutes.

Project Coordination and Support

  • Provide logistical support for projects.
  • Assist with facilitating meetings and organizing meeting logistics.
  • Identify resources, undertake research projects, and collect and analyze data.

Minimum and Additional Requirements

An associate or bachelor's degree plus relevant administrative/training experience; OR an equivalent combination of education, training, and experience sufficient to successfully perform the high-level functions of this role.

Preferred Qualifications

  • Software Mastery:
    Advanced proficiency in Microsoft Office Suite.
  • Executive Communication:
    Superior writing, editing, and verbal communication skills with a sharp eye for detail.
  • Grants Management:
    Ability to scan the various funding mechanisms and communicate them to appropriate partners.
  • Project Ownership:
    Proven experience managing multiple complex programs, projects, or large-scale events simultaneously while meeting strict deadlines.
  • Interpersonal Knowledge:
    Exceptional ability to build collaborative, positive relationships with stakeholders, council members, and diverse populations at all levels of leadership.
