Job Responsibilities
Under general supervision of the Vice President of Institutional Advancement, plans, coordinates and/or performs administrative, business management and support services activities for the Institutional Advancement division of the college, including the departments of Marketing and Public Relations, Institutional Research (IR), Institutional Effectiveness (IE), Information Technology (IT), and the Center for Teaching and Innovation.
Job Duties of the Administrative Coordinator for the Vice President of Institutional Advancement- Administrative and Division Support:
Provides comprehensive administrative support to the Vice President of Institutional Advancement (IA) and all departments within the IA Division, including Marketing, Institutional Research (IR), Institutional Effectiveness (IE), Information Technology (IT), and the Center for Teaching and Innovation. Manages calls and internal/external meeting coordination. Assists with VP IA reports as needed. Books travel for VP of IA, all departments within the IA Division, and all SACSCOC related trips and expenses.
Serves as the primary point of contact for the IA Division and maintains division files, meeting minutes, and supply inventory. - Human Resources Coordination and Policy Administration:
Provides support to the Human Resources Department, including, but not limited to assisting with adjunct faculty recruitment, posting positions, communicating with applicants, onboarding, and supporting faculty credentialing review processes to ensure compliance with institutional and accreditation requirements. Oversees the maintenance and updating of college-wide policies and procedures, ensuring alignment with institutional standards, regulatory requirements, and accreditation expectations. Manages policy tracking systems, document revisions, and website content to ensure accessibility, accuracy, and compliance with SACSCOC and other applicable guidelines. - Budget and Procurement:
Maintains detailed financial and budgetary records for all IA departments. Prepares purchase requisitions and invoices, reconciles Procurement-card statements, and ensures accuracy of budget codes prior to Business Office submission. Monitors expenditures and assists with financial planning related to division and grant-funded activities. - Communications, Marketing, and Information Management:
Assists Marketing with the coordination of promotional materials and updates to the college website. Supports college-wide communication efforts, including the management of digital and print content, as needed. Maintains and updates the college-wide Academic Calendar and supports the administration of institutional surveys for planning and evaluation. - Performs additional related duties assigned to support the effective operation of the Institutional Advancement division and the college.

Minimum Requirements:
A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience. NETC Preferred Requirements: A bachelor's degree and relevant experience in business management, public administration, or administrative services. Knowledge of South Carolina Procurement Code and Policies. Knowledge of Colleague/Datatel System. Must have a valid driver's license.
Knowledge of agency policies, procedures, rules, regulations and program services. Knowledge of policies, procedures, rules and regulations related to the specific administrative function. Knowledge of governmental fiscal and personnel procedures, practices, and policies. Knowledge of modern office practices, procedures, and equipment. Ability to coordinate diverse administrative functions. Ability to establish and maintain effective working relationships. Ability to plan, organize and supervise the work of subordinate personnel.
