UIDP is seeking a highly organized, collaborative, and detail-oriented Program Coordinator to support the successful execution of UIDP’s programs, initiatives, and grant-funded activities. This position will work across multiple projects and priorities, providing coordination, administrative, logistical, and operational support to help ensure work progresses effectively and commitments are met.

The Program Coordinator will work closely with UIDP staff, members, external partners, program participants, and other stakeholders. The ideal candidate is comfortable managing multiple priorities, tracking details and deadlines, communicating with diverse audiences, and helping turn plans into action.

KEY RESPONSIBILITIES Program and Initiative Coordination
  • Provide coordination and operational support for multiple UIDP programs, initiatives, and special projects.
  • Assist with developing and maintaining project plans, timelines, schedules, task lists, and other program documentation.
  • Track project milestones, deliverables, action items, and deadlines and follow up with appropriate team members and partners.
  • Support the coordination of meetings, working groups, committees, webinars, workshops, and other program activities.
  • Prepare agendas, meeting materials, notes, action-item summaries, and follow-up communications.
  • Maintain organized program records, shared files, participant information, and other documentation.
  • Support communication with program participants, UIDP members, subject matter experts, partners, and other stakeholders.
  • Assist with participant recruitment, registration, onboarding, scheduling, and ongoing engagement, as appropriate.
  • Identify potential scheduling, logistical, or administrative issues and work with staff to resolve them.
Program Tracking and Reporting
  • Maintain accurate and current information regarding program activities, participation, milestones, and outcomes.
  • Assist with collecting, organizing, and analyzing program data and feedback.
  • Support preparation of internal updates, funder reports, presentations, and other program communications.
  • Help maintain dashboards, trackers, calendars, and other tools used to monitor UIDP's portfolio of activities.
  • Document processes and contribute to continuous improvement of program coordination practices.
Organizational Support
  • Collaborate across UIDP teams to support organizational priorities and ensure coordination among related programs and activities.
  • Provide administrative and project support for new or emerging initiatives as needed.
  • Help develop and maintain templates, processes, and systems that improve efficiency and consistency across programs.
  • Perform other duties and special projects consistent with the responsibilities of the position.
Other Duties as Assigned:

This position may be responsible for a variety of additional tasks to support the effective operation of the organization. These may include general administrative functions, clerical support, document preparation, data entry, scheduling assistance, meeting coordination, filing, supply management, and other office-related activities. Responsibilities may evolve based on organizational needs, and flexibility and a collaborative approach are essential.
