Vehicle Control & Rental Fleet Specialist
Walterboro Ford is hiring a dependable, highly organized Vehicle Control & Rental Fleet Specialist to manage the condition, movement, readiness, and presentation of our vehicle inventory while overseeing our 15-vehicle rental and service-loaner fleet.
This is a hands-on position for someone who takes pride in keeping vehicles clean, serviced, properly merchandised, accurately documented, and ready when customers or dealership departments need them.
The right candidate will be comfortable coordinating with sales, service, detail vendors, management, and customers. This position requires strong follow-through, attention to detail, and the ability to manage multiple vehicles and deadlines without constant supervision.
Primary Responsibilities Vehicle Inventory Control- Conduct a daily physical inventory walk and verify vehicle locations.
- Maintain accurate vehicle status, key control, and location records.
- Identify vehicles requiring service, inspections, recalls, fuel, cleaning, or repairs.
- Coordinate with the service department to ensure vehicles are serviced promptly.
- Coordinate vehicle cleaning and reconditioning and inspect completed work for quality.
- Make sure new and used vehicles are frontline-ready and properly presented.
- Report missing vehicles, keys, equipment, documents, or damage immediately.
- Help coordinate dealer trades, vehicle transportation, and inventory movement when needed.
- Monitor aging vehicles and bring readiness or condition problems to management’s attention.
- Maintain an organized key-control and vehicle-tracking system.
- Ensure every retail vehicle is clean, fueled, correctly parked, and properly merchandised.
- Confirm vehicles have accurate window stickers, pricing displays, buyer’s guides, addendums, and dealership materials.
- Coordinate photographs and online merchandising for new and used inventory.
- Inspect vehicle photos and listings for accuracy and presentation quality.
- Make sure sold, wholesale, service, rental, and retail vehicles are clearly identified.
- Remove outdated stickers, tags, plates, or merchandising materials.
- Perform regular lot walks to maintain an attractive, organized, customer-ready inventory display.
- Oversee the daily operation of Walterboro Ford’s approximately 15 rental and service-loaner vehicles.
- Maintain an accurate record of each vehicle’s location, availability, mileage, fuel level, and condition.
- Prepare, execute, and securely maintain all rental and loaner agreements.
- Verify required customer documentation before releasing a vehicle.
- Complete vehicle check-out and check-in inspections with supporting photographs.
- Document fuel, mileage, damage, cleanliness, tolls, and other applicable charges.
- Track expected return dates and follow up promptly on overdue vehicles.
- Coordinate cleaning, fueling, maintenance, recall completion, and repairs for fleet vehicles.
- Make sure every rental and loaner vehicle is safe, clean, serviced, and ready for the next customer.
- Monitor mileage and condition and recommend when vehicles should be removed from fleet service.
- Immediately report accidents, damage, insurance issues, or agreement violations to management.
- Protect customer information and maintain complete, audit-ready rental records.
- Complete a morning inventory and rental-fleet status review.
- Provide management with a current vehicle readiness and location report.
- Track all vehicles awaiting service, cleaning, photographs, or merchandising.
- Inspect completed vehicles before releasing them to the sales line or rental fleet.
- Maintain accurate agreements and supporting documentation.
- Follow up on overdue rentals, missing documentation, open damage, and incomplete work.
- Leave the fleet, vehicle records, key system, and work area organized at the end of each day.
- Automotive dealership, rental-car, inventory-control, service, or fleet-management experience is preferred.
- Strong organizational skills and exceptional attention to detail.
