The Brand Production Coordinator oversees the production, procurement, mailing, distribution, and installation of printed materials, promotional items, and campus signage. This position provides oversight of vendor relationships, production schedules, project budgets, and quality control while ensuring all materials are delivered on time, on budget, and in alignment with university brand standards. This position requires a combination of office, campus, and vendor environments.

Responsibilities
  • Manage complex production projects with institution-wide impact.
  • Manage and oversee production schedules, distribution, and quality control for printed publications, direct mail, promotional merchandise, and campus signage, ensuring projects are delivered on time, on budget, and in alignment with university standards while proactively resolving production, printing, mailing, and delivery issues and communicating effectively with stakeholders.
  • Estimate project costs and production requirements.
  • Negotiate pricing, timelines, and service agreements with vendors to maximize value and ensure financial responsibility.
  • Serve as the primary liaison with production vendors and service providers, cultivating strong partnerships to ensure quality, efficiency, and timely project delivery.
  • Manage project financials, including purchase orders, invoicing, reconciliation, and budget tracking.
  • Maintain and organize production files and project archives.
  • Monitor product quality through review of proofs and final deliverables.
  • Conduct periodic campus signage audits and coordinate improvements as needed.
  • Coordinate vendor pickups, deliveries, and installations.
  • Occasional work outside normal business hours may be required to meet production schedules and address urgent project needs.
  • Some local travel for vendor meetings, product pickups, deliveries, installations, and signage inspections.
  • Support major university initiatives and events requiring production expertise and logistical coordination.
