SummaryEnsures a friendly and receptive environment for guests and provides administrative support for the sales department through accurate recording of customer traffic and production of reports with critical sales process metrics.
Responsibilities- Perform opening and closing Guest Services procedures.
- Answer incoming phone calls courteously, promptly and professionally; direct calls and take accurate messages.
- Direct customers to the appropriate person or department.
- Manage desk log, phone up log, loaner agreement log, dealer plate log, and gas card log; track and filter all incoming calls and messages.
- Communicate effectively with the Guest Services Manager and Greeters.
- Reconcile and update data entry with dealership software; produce daily reports.
- Walk around the showroom hourly to offer refreshments and maintain a warm, positive environment for guests and teammates.
- Provide new‑hire Customer Management training when requested.
- Maintain CSI at or above company standards and keep the work area organized, clean, and safe.
- Participate in required training and record all hours accurately in the company time‑keeping system.
- Follow safeguards rules and regulations, company core values, policies, procedures, and safety regulations.
- Perform any other duties as assigned.
Essential skills, knowledge, and abilities required for this role.
Education- GED or High School Diploma (preferred);
Associate, Bachelor, Master, or Doctorate degrees acceptable. - Fields of study:
Accounting, Automotive, Business, Human Resources, Information Technology.
- Previous customer service experience desired.
- Up to 3 years of experience preferred; 3‑5 years or 5+ years also acceptable.
- Valid Driver’s License.
- Automobile Salesperson License.
- Intermediate Microsoft Office skills.
- Ability to learn Dealership Management System and web‑based applications used in operations.
- Ability to understand and follow instructions.
- Effective communication with customers and company personnel.
Regular and predictable attendance required. Scheduled shifts may include evenings, weekends, and holidays.
Physical DemandsRegular talking or hearing; walking, standing, sitting; using hands to finger, handle, and feel.
Environment DemandsShowroom or outdoor sales lot; heavy phone work; clerical and administrative responsibilities; interaction with customers and employees.
