Description ESSENTIAL FUNCTIONS

  • Provides a wide range of office services such as typing, data input, file review, customer and employee phone inquiries, filing and other duties as assigned.
  • Assist Loan Officers with daily administrative duties.
  • Schedule appointments and maintain calendars.
  • Prepare and organize loan files and supporting documentation.
  • Enter and update borrower information in loan origination systems (LOS).
  • Maintain accurate records and filing systems.
  • Scans documents and correspondence for inclusion into loan application.
  • Acts as the liaison between internal and external customers, attorneys, insurance agents and Loan Officers.
  • Gathers appraisal checks and coordinates between loan officer and mortgage processor to order appraisals.
  • Gathers information to set up CIF for new customers and opening the deposit related accounts.
  • Serve as a point of contact for borrowers during the loan process.
  • Answer questions regarding loan application status and documentation requirements.
  • Communicate professionally with clients, real estate agents, title companies, and lenders.
  • Follow up with borrowers to obtain missing information or documents.
  • Follow up and respond to customer and in-house inquiries on transactions and provide quotes as needed.
  • Contacts homeowners’ insurance agent and provides them with closing dates and mortgagee clause.
  • Assist with loan closings by attending closings and getting the required signatures on all loan documents.
  • Loan Processing Support
    • Review loan applications for completeness and accuracy.
    • Collect, verify, and organize borrower documentation such as income, asset, and employment records.
    • Assist in ordering credit reports, flood determinations and other required services.
    • Monitor loan pipelines and track application progress.
    • Coordinate with processors, underwriters, and closing departments.
    • Coordinates closing date with attorney, mortgage processor and Loan Officers.
  • Compliance and Documentation
    • Ensure loan files comply with company policies and regulatory requirements.
    • Assist with preparing disclosures and loan-related documents.
    • Maintain confidentiality of customer financial information.
    • Support quality control reviews and audits.
    • Reviews pending mortgage files for proper documentation and collateral.
  • Reporting and Tracking
    • Generate pipeline and status reports for Loan Officers and management.
    • Track deadlines and ensure timely completion of tasks.
    • Monitor outstanding conditions and assist in clearing them before closing.
  • Perform other duties as assigned or directed.
REQUIRED SKILLS/ABILITIES

SUPERVISORY RESPONSIBILITY

This position does not supervise employees.

EDUCATION and EXPERIENCE
  • High School Diploma or equivalent required. Associate’s degree in business, Finance, Accounting or a related field preferred.
  • Minimum of two (2) years of experience in mortgage lending, banking, financial services, loan administration, or administrative support required.
  • Previous experience supporting Mortgage Loan Officers, Loan Processors, Underwriters, or other lending professionals preferred.
  • Working knowledge of mortgage loan products, documentation, terminology, and the residential leading process preferred.
  • Strong organizational, customer service, and administrative skills required.
  • Valid NMLS license or the ability to obtain licensing within 90 days of hire, if required.
  • Experience with Encompass or a similar Loan Origination System (LOS) preferred.
PHYSICAL REQUIREMENTS
  • Ability to concentrate and perform responsibilities by maintaining a constant state of focus and mental alertness.
  • Ability to lift up to 25 pounds.
  • Ability to communicate in person, through email or via telephone with customers and staff members.
  • Ability to sit or stand for an extended period.
  • Specific vision abilities required by this job may include close vision and the ability to adjust focus.
