PRIMARYACCOUNTABILITIES Achieve Results
Provide supervision and direction to ensure the health care facility carries out its daily duties and maintains business efficiency.
Monitor, guide, and organize all services which are provided at the facility.
Monitor staffing and ensure clinic staff are appropriate for providers so that patient care is not hindered.
Ensure that all corporate standards, as defined by Genesis Health Care, are maintained and followed according to the policies and procedures set in place
Operational ExcellenceEnsure and uphold the confidentially requirements of all patient records and manage all daily task and activities consistent with HIPAA, state and federal laws and regulations, as well as the clinic’s policies and regulations regarding confidentiality and security.
RelationshipsDevelop and ensure effective, positive, and professional relationships within and among the clinic’s staff, as well as with patients, vendors, contractors, and related resources.
ProfessionalismEnsure all actions, job performance, personal conduct and communications represent the organization in a highly professional manner at all times.
Uphold and ensure compliance with and attention to all corporate policies and procedures, as well as the mission and values of the organization.
PRIMARY TASKS & DUTIESOversee the daily operations of the facility, assisting team members in any way possible to ensure the efficient and effective delivery of services to the patient
Guide the staff in daily operations and training, monitor their performance, and provide yearly evaluations with goals for improvement.
Review and approve time clock for clinical and administrative employees.
Responsible for assisting with the hiring, training, and evaluating of clinic team members.
Ensure that all electronic medical records of the facility are maintained properly and up to date
Maintain HIPAA compliance with electronic medical records
Back up clinical and administrative team members as needed.
For absences and position vacancies, coordinating coverage and leave time for staff.
In the training and development of a quality team member
Must be able to work independently in all departments within the office, filling in when needed.
Encourage a cohesive work environment for all team members.
Monitor schedule daily; looking ahead for any potential roadblocks or issues that may arise
Arrange maintenance, inspection, and general upkeep of building with Facilities Maintenance Department
Implement and facilitate the implementation of office policies and procedures
Maintain OSHA regulations for training and safety.
Work alongside Maintenance and Compliance to ensure that OSHA compliance is kept up to date.
Overseeing any OSHA site visit at the facility, reporting results to the Practice Manager
Be present and engaged in weekly management meetings
Create and foster goals for the facility that involve all team members
Address and handle patient grievances and complaints, to provide excellent patient care.
Ensure top performance of office staff by providing them adequate coaching, counseling, guidance, and discipline when needed.
Ensure employees are staying within their allotted hours.
Overseeing medical and office supply orders
Other duties, as assigned, within the scope of practice as outlined via licensing board or certification agency, if applicable
ESSENTIAL FUNCTIONS/KEY COMPETENCIESFunction in a multi-tasking, multiple priorities environment, while maintaining accuracy and attention to detail;
Communicate with a diverse team member population;
Must be willing to put other needs before your own;
Will be required to successfully manage vendors and cash flow in often stressful or conflict situations;
Utilize a wide variety of office technology and tools to collect, enter, process, file patient records and documentation
Requirements- Education
- Bachelor's degree or associate degree in related field strongly preferred;
Healthcare management experience may be substituted.
- "Skilled" business office experience.
- Communication, customer service or working with the general public, preferably in a medical care facility.
- General computer competence including basic Word and potential to be trained on specific software for patient information, billing and communication.
- Knowledge of medical terminology.
- Ability to interact with computer screen for up to six hours at a time (visual acuity required).
- Must have manual dexterity for use of keyboard.
- Ability to remain stationary for periods of up to four hours.
- Ability to communicate via phone, mail and in person to resolve disputes, solve problems, etc.
