Key responsibilities:

Payroll Processing & Compliance

  • Process bi-weekly payroll using Workday and ADP.
  • Review, audit, and reconcile timeclock entries; ensure timely manager approvals.
  • Investigate and correct missing hours or timeclock errors.
  • Maintain and update payroll records, including new hires, terminations, pay changes, and direct deposit modifications.
  • Calculate and process manual checks, bonuses, incentive credits, annual increases, and vacation payouts.
  • Prepare weekly and monthly payroll reports, including vacation liability and temporary labor hours.
  • Reconcile general ledger accounts and post journal entries.
  • Submit payroll taxes and support year-end activities, including W-2 processing and audits.
  • Maintain the confidentiality of payroll and financial information at all times.
Benefits Administration
  • Provide in-person support to employees for payroll and benefits inquiries.
  • Coordinate benefit deductions and ensure data integrity across Workday, ADP, UKG, and providers.
  • Conduct benefits evaluation, open enrollment, and renewal processes.
  • Track and process Short-Term Disability, Long-Term Disability, and Workers’ Compensation payouts.
  • Maintain and reconcile miscellaneous benefits and wage garnishments.
  • Submit 401(k) contributions and assist with annual benefit plan audits, including Form 5500.
  • Report and distribute Flexible Spending Account (FSA) and Health Savings Account (HSA) summaries.
Employee Support & Collaboration
  • Research and resolve discrepancies or payment issues promptly.
  • Communicate professionally with employees, managers, auditors, and external agencies.
  • Escalate unusual or questionable payroll transactions to management.
  • Cross-train with HR staff to provide backup support for payroll and HRIS functions.
Reporting & System Management
  • Prepare routine payroll, benefits, and time-off reports for management.
  • Upload employee updates and schedule changes (open enrollment, holidays, etc.).
  • Maintain data integrity across all systems (Workday, ADP, SAP, Plan Source, etc.).
  • Collaborate with system vendors on enhancements, maintenance, and troubleshooting.
  • Participate in internal control reviews and audits.
  • Oversee uniform ordering and tracking.
  • Maintain attendance point tracking records.
  • Support the hiring process as needed, including job offers, drug screens, background checks, and I-9 documentation.
Professional

Experience:

  • 2 years of payroll experience required.
  • Experience with ADP HR/Payroll and Workday strongly preferred.
  • Understanding of general accounting principles and payroll compliance regulations.
  • Demonstrated integrity and ability to maintain confidentiality.
  • Ability to work on-site to support employees and payroll operations.
Education and specialized skills profile:
  • High School Diploma or GED required;
    Bachelor’s degree in Accounting, Finance, HR, or related field preferred.
  • CPP or FPC certification is a plus.
  • Proficiency in MS Office, including Excel and other computerized payroll/accounting systems.
  • Strong analytical, problem-solving, and decision-making skills.
  • High degree of accuracy and attention to detail.
  • Excellent data entry, communication (verbal and written), and organizational skills.
  • Ability to work independently and within a team.
  • Effective time management and ability to meet deadlines.
  • Comfortable working with a diverse employee population.
