Job Duties:
  • The CWS Case Administrative Coordinator I, supports the collection and organization of essential information and prepares concise summaries for inclusion in background reports. This position also is responsible for producing comprehensive accurate, and detailed background summaries and maintaining ongoing communication with staff to obtain information needed for report development by promoting adherence to DSS policies and procedures, agency mission, and the GPS Practice Model.
  • Participates as an active member of a professional team to plan and staff cases for clients with an adoption plan.
  • Requests and collects essential documentation—including medical, psychological, educational, dental, and vision records—and conducts CAPSS reviews to support the development of comprehensive background summaries.
  • Prepares thorough, accurate, and timely background summaries in accordance with deadlines established by the Permanency Team Lead.
  • Develops and maintains a standardized background summary template/outline for Midlands Permanency, making necessary updates as directed by Permanency Leadership.
  • Provides training to case managers on a unified format and standardized process for completing background summaries.
  • Conducts preliminary reviews of background summaries drafted by case managers to ensure clarity, accuracy, professionalism, and grammatical correctness prior to supervisory review.
  • Develops and implements questionnaires for foster parents, caregivers, and families to complete for the purpose of gathering essential information for background summaries.
  • Creates and maintains a guide for case managers to use when completing six-month updates to background summaries and provides assistance with updates as needed.
  • Assists with Permanency team with transporting and providing supervision for children in foster care as needed.
  • Assists case managers with completing background checks (SLED, FBI, CPS, and Sex Offender Registry) and provides clerical support such as filing paperwork, completing file checklists, and preparing Blue Books, as needed.
  • Assists with completing ICPC home studies, as needed.
  • Performs Red Cross Shelter Duty or other emergency shelter services as assigned.
  • Performs additional related duties as assigned to support permanency and adoption processes.

Associate Degree and four (4) years of experience in business management, public administration or administrative services.

Bachelor's Degree and two (2) years of experience in business management, public administration or administrative services.

Master's Degree or higher may be substituted for the required work experience.
