State Fleet Lot Equipment Coordinator

The Department of Administration's (Admin) Division of State Agency Support Services, State Fleet Management (SFM) is responsible for centralized oversight of a comprehensive statewide fleet management program of all state-owned fleet vehicles for the state of South Carolina. SFM is growing and seeking a State Fleet Lot Equipment Coordinator to join our team and support our expanding operations. In this role you will provide essential operational support to ensure the efficient, compliant, and customer-focus functioning of the fleet lot by supporting daily operations.

You will be responsible for telematics installation on assigned vehicles, accurate inventory tracking, and timely coordination of maintenance scheduling to keep units’ road ready. You will perform detailed vehicle inspections, complete high volume data entry with accuracy, and deliver responsive customer service to internal and external partners.

Job Responsibilities

This position is onsite in West Columbia, SC.

Responsibilities Of Sate Fleet Lot Equipment Coordinator
  • Monitor and maintain organization of the shared fleet parking lot and assigned fleet areas.
  • Conduct routine visual inspections of fleet vehicles for cleanliness, damage, and safety concerns.
  • Assist with vehicle check-in and check-out procedures.
  • Coordinate vehicle reservations and assignments for agency staff.
  • Maintain accurate fleet records including mileage, maintenance schedules, and vehicle utilization logs.
  • Track vehicle availability and update fleet management systems.
  • Assist with registration renewals, insurance documentation, and compliance records.
  • Schedule preventive maintenance and repairs with approved vendors or service facilities.
  • Transport vehicles to and from repair locations when needed.
  • Monitor maintenance status and report unresolved issues to supervisors.
  • Install/uninstall telematic devices as vehicles rotate through life cycles.
  • Provide assistance to employees using state vehicles.
  • Respond to questions regarding fleet procedures, vehicle availability, and operational guidelines.
  • Report accidents, damage, or safety issues according to agency policy.
  • Prepare reports related to fleet usage, maintenance activity, and vehicle inventory.
  • Maintain files and documentation in accordance with state retention requirements.
  • Assist with audits and inventory verification processes.
Minimum And Additional Requirements
  • A high school diploma and related experience.
  • Valid South Carolina driver's license.
Additional Requirements
  • Basic familiarity with Microsoft Office programs.
  • Experience with fleet operations, logistics, or administrative support.
  • Ability to work outdoors in various weather conditions.
  • Excellent customer service skills.
  • Good organizational and record-keeping skills.
  • Position requires routine driver duties.
  • Position requires frequent stooping and/or bending.
  • Position requires frequent lifting: 50 lbs.
  • Must be able to do mild physical labor in cramped environments.
  • Position requires up-to-date certification(s).
  • Position required to report to work during emergency situations and hazardous weather events.
