Office Manager – Chippewa Falls, WI

Trillium Construction is hiring for an Office Manager in Chippewa Falls, WI to work for a well‑established, respected HVAC company in the area.

The hourly rate is between $25/hr and $30/hr, plus benefits, for work between 28 and 32 hours per week.

Responsibilities
  • Act as contact person for accounting software and other computer–related issues, coordinate software updates with company procedures, resolve support issues.
  • Responsible for bi‑weekly payroll, including all tax payments, garnishments, 401(k) contributions, HAS contributions, quarterly tax reporting, year‑end W2s, and employee files.
  • Act as contact person for employee benefits programs (401(k), health, disability, etc.).
  • Handle new‑hire and termination paperwork.
  • Monitor cash in bank, transfer money between checking accounts, set up and monitor ACH payments, take cash deposits to bank.
  • Balance monthly bank statements to computer software accounts and company check register.
  • Review general ledger accounts and make adjusting entries, generate monthly financial statements, work with accountant for year‑end corporate tax returns, and other accounting projects.
  • Review job cards billed each month for proper sales/use taxes.
  • Implement new office procedures, delegate office projects, design reports to provide information to other managers/co‑workers.
  • Assist other staff as needed, including answering phones and generating service work orders, dispatching, assisting customers, and filling in for receptionist/service dispatcher.
Qualifications
  • Previous experience in an Office Manager position or similar role, preferably within the construction industry.
  • Proficiency in MS Office programs (Computer Ease preferred).
  • Any experience with construction software is a huge plus.
  • Strong organizational and time‑management skills.
  • Ability to handle sensitive information with discretion.
