About The Role
The Sales Support Officer provides comprehensive administrative, commercial, and coordination support to the Head of Sales, Senior/Line Managers, and the Sales team. The role ensures efficient day‑to‑day departmental operations, strict adherence to company processes, and effective execution of commercial activities, including bid and proposal coordination, process compliance, and travel logistics. The incumbent plays a key role in maintaining governance, supporting sales execution, and enabling high‑quality, professional customer engagement.
QualificationsAnd Experience
- Minimum Diploma in Law, Business Administration, or a related field.
- 3–5 years’ experience in a commercial, sales support, or similar administrative role.
- Proven experience in supporting senior management and sales teams in a structured, process‑driven environment.
- Experience in bid administration, commercial coordination, or governance‑driven environments will be a strong advantage.
- Strong computer literacy with the Microsoft Office suite (Outlook, Excel, PowerPoint, Word).
- Experience working with Customer Relationship Management (CRM) systems.
- Excellent organisational and administrative skills with strong attention to detail and prioritisation ability.
- Ability to work under pressure and manage multiple deadlines in a fast‑paced environment.
- Proactive, flexible, and able to work independently using own initiative.
- Strong numerical ability with confidence in handling budgets, expenses, and commercial information.
- Excellent written and verbal communication skills, with the ability to summarise and synthesise complex information.
- High‑level editing and proofreading skills with strong accuracy.
- Professional interpersonal skills with the ability to engage effectively at all levels.
- Strong team player with high energy, motivation, and a service‑oriented mindset.
- Executive and Administrative Support
Provide administrative and secretarial support to the Head of Sales and Senior/Line Managers. Manage diaries, schedule meetings, and ensure managers are prepared for engagements. Draft correspondence, compile reports and presentations, and take accurate meeting minutes. Manage departmental budgets, expenses, and procurement of office supplies. Maintain timekeeping and leave administration in line with company policies. - Commercial and Bid Coordination
Arrange and manage Bid Review and Order Acceptance meetings, including documentation and minutes. Compile, track, and administer bid submissions and approvals in coordination with the Sales Team. Assess Country of Attention (COA) applicability and draft initial COA applications for review. Assess Partner Review Directive (PRD) applicability, prepare draft documentation, and liaise with customers for required information. Ensure compliance with bid‑related processes and maintain an accurate and up‑to‑date Bid Register. - Process Management and Compliance
Ensure departmental and commercial processes comply with company policies and audit requirements. Maintain templates and accurate records on SharePoint and support internal and external audits. Implement and communicate process improvements to enhance operational efficiency. Maintain strict confidentiality, professionalism, and adherence to governance and ethical standards. - Travel and Logistics Coordination
Arrange and manage local and international travel, including flights, accommodation, visas, and foreign exchange. Ensure travel documentation and itineraries are prepared in advance and that expense claims are submitted on time. Maintain a travel and expense register and support travel claims where required. - General Office and Stakeholder Support
Coordinate meetings, visitor management, and departmental communications. Oversee office facilities, ensure general office readiness, and maintain office equipment. Provide ad‑hoc administrative and commercial support to the team as required. Drive continuous improvement initiatives to enhance team effectiveness and service delivery.
