Introductory Period: 6 Months

Job OverviewWe are seeking a highly organized and detail‑oriented Administrative Assistant to support the County Highway Superintendent in the efficient management and coordination of administrative tasks within the County Highway Department. The successful candidate will play a crucial role in ensuring smooth operations, effective communication, and proper documentation within the department.
Minimum Qualifications- High School diploma or GED
- Associate degree or higher will be given higher consideration.
- Proven experience as an administrative assistant or in a similar role.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite and other relevant software.
- Familiarity with budgeting and financial procedures is a plus.
- Ability to handle sensitive and confidential information with discretion.
- Knowledge of county government operations and highway management is advantageous.
- Complete mandatory computer security awareness training as assigned.
- Maintain an organized and efficient office environment for the County Highway Superintendent.
- Manage incoming calls, emails, and correspondence, and redirect them as necessary.
- Schedule appointments, meetings, and conferences, coordinating with internal and external stakeholders.
- Prepare and maintain accurate records, reports, and documentation related to highway projects, permits, and other administrative matters.
- Assist in the creation and maintenance of filing systems to ensure easy retrieval of information.
- Act as a liaison between the County Highway Superintendent and various internal and external parties.
- Assist in drafting and proofreading correspondence, reports, and other written materials.
- Coordinate communication and information flow between department staff and other county departments.
- Prepare meeting agendas, materials, and minutes for departmental meetings.
- Attend meetings and take accurate notes, summarizing key points and action items.
