Position Summary
The Administrative Assistant is responsible for providing administrative support to the World Oil Marketing Company Team on various special projects: gasoline station maintenance & operations, regulatory compliance data management, commercial real estate leasing and maintenance which include data entry, document filing, word processing, audits, worksheets, supporting project and department personnel, maintaining and updating spreadsheets.
Essential Duties and Responsibilities- Obtains data from multiple departments including but not limited to Operations, Maintenance, and Accounting Departments.
- Provide administrative support through data entry, document filing, word processing, recordkeeping to ensure accuracy for the marketing team.
- Maintains and updates vendors, tenant, gas stations and property records and files to ensure accuracy and complete information.
- Conducts additional research and gather information in support of some projects to present to the marketing department.
- Maintains records, creates new records, and ensures compliance with company policies.
- Reviews and approves gas stations and properties utility invoices to ensure the on-time payment and correct billing amounts.
- Performs other related duties as assigned.
- High School Diploma or equivalent (G.E.D.) required.

- Knowledge of administrative and office procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and workplace terminology.
- Knowledge of the science and art of delivering information.
- Skill in giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
- Skill in identifying complex problems and reviewing related information to develop and evaluate options and implement solutions.
- Skill in managing one's own time and the time of others.
- Ability to communicate information and ideas in writing and speaking effectively and clearly.
- Ability to concentrate on a task over a period of time without being distracted.
- Ability to listen to and understand information and ideas presented through words and sentences.
- Previous administrative assistance experience in a related field preferred.
- Education beyond high school or equivalent (G.E.D.) preferred.
Posted pay ranges are provided in accordance with California pay transparency requirements and reflect the Company's currentanticipated compensation for the position at the time of posting. Compensation rangesare periodically reviewed and may be revised based on business needs, market conditions, internal equity, budgetary considerations, and other legitimate business factors.
