Federal Protection Agency, Inc. is a Private Security & Investigative Agency looking for a part-time and/or full time Administrative Office Assistant to join our Corporate Office team. This person must be committed to accuracy, present their work and themselves in a professional manner, exhibit outstanding communication, focus and strong data organization skills. The most successful candidates will have a proven track record of problem-solving, enjoy a challenge, and be self‑motivated.

This role reports to the Office Manager and is responsible for supporting the Management team.

The Administrative Office Assistant will provide clerical and technical functions to assist assigned staff members. This may include typing, scheduling, filing, research, transcribing, data entry, competent use of computers programs including Microsoft Word, Microsoft Excel, Microsoft Outlook, auditing, customer service, safety coordination, preparing meeting minutes and materials, office inventory, ordering supplies and acting as a resource to Corporate Office staff and other duties as assigned.

Functions
  • Onboarding:
    Coordinate orientation and training sessions for new employees
  • Offboarding:
    Coordinate and document the separation process for employees leaving the company, to include reclaiming all issued company property
  • Employee Records:
    Maintain employee databases, including holiday and sickness leaves, and ensure data accuracy and timeliness
  • Payroll:
    Assist with payroll processing and documentation
  • Benefits:
    Assist employees with benefits‑related inquiries, process benefit enrollments, and ensure compliance with benefit policies
  • Inventory:
    Maintain office supply inventory, promptly restocking as needed, and coordinate office maintenance to support a functional work environment. Assist with special projects and other tasks as required, contributing to the department's overall success and operational excellence
  • Policies and procedures:
    Assist the Management with formulating policies, procedures, and changes, and communicate updates to employees
  • Employee Relations:
    Address employee concerns and help foster positive relationships within the workplace
  • Reports:
    Run reports on general HR activities
  • Communication:
    Maintain the departmental email account and respond to employee questions and complaints
  • Events:
    Oversee HR events and meetings
Duties & Responsibilities Administration
  • Assist operations with tracking of call offs, leaves, PTO, etc.
  • Responsible for employee onboarding compliance including I9s, vaccinations and certifications.
  • Ensure proper maintenance of employment files and other records personally in a detailed manner in the HRIS computer system.
  • Responsible for onboarding of business team members including ordering business cards.
  • Responsible for maintenance of employees' system access including emails, email groups, Slack, etc.
  • Performing monthly, bi‑monthly, and quarterly compliance audits.
  • Responsible for the benefits administration including leaves, 401(k), workers compensation, unemployment, and response to employee inquiries.
  • Responsible to organizing and distributing payroll and accounting checks to employees onsite.
  • Responsible for responding to W2 requests, wage garnishments and employment verifications.
  • Assist recruiters with screenings, reference checks, scheduling interviews, conducting candidate screenings and attending job fairs.
  • Pull targeted ads and reach out to job fair candidates.
  • Attend job fairs with recruiters, as needed.
