Sales Assistant / Sales Operations Coordinator
Wise Flooring & Design is looking for a highly organized, proactive, and driven Sales Assistant / Sales Operations Coordinator to work directly with our top sales managers.
This is not a traditional administrative assistant position.
Our account managers, manages a large clientele and we need someone who can help manage the details behind those sales and keep everything moving from contract to installation and completion.
The right person will be highly organized, detail-oriented, fast-moving, and comfortable taking ownership. You should be able to look at what needs to happen next,
take action without waiting to be told, and follow through until it is done.
You will serve as the right hand to the sales executive
, helping manage the administrative, scheduling, product, contract, and operational details associated with their sales pipeline.
Your job is to make sure that when a sale is made,
nothing falls through the cracks.
- Support the Account Manager in managing a high-volume sales pipeline.
- Prepare, send, and follow up on contracts, proposals, work orders, and other customer documents.
- Review contracts and project details for accuracy before sending them to customers.
- Track signed contracts and ensure all required information is complete.
- Coordinate installation dates and project schedules with customers, installers, subcontractors, and internal teams.
- Schedule trades and installers according to project requirements and availability.
- Coordinate product ordering and verify that the correct products, quantities, colors, and materials are ordered.
- Track product orders, deliveries, backorders, and expected arrival dates.
- Make sure materials are available before installation is scheduled.
- Communicate with vendors and suppliers regarding orders, pricing, availability, and delivery.
- Maintain accurate project and customer information in company systems.
- Follow up with customers regarding contracts, selections, scheduling, payments, and project details.
- Communicate project updates and changes to the appropriate team members.
- Identify missing information, scheduling conflicts, material issues, or other potential problems before they become problems.
- Keep the sales executive informed of important updates, deadlines, and issues.
- Maintain organized files and records for each project.
- Coordinate with installers and project managers to ensure jobs are properly prepared before installation.
- Follow up on completed work, punch-list items, and customer concerns when necessary.
- Manage multiple projects and deadlines simultaneously.
- Anticipate what needs to happen next and take action without waiting for direction.
- Help create systems and processes that make the sales and project workflow more efficient.
- Perform other duties necessary to support the sales executive and company.
Manage contracts, paperwork, and customer follow-up.
Schedule installations, trades, and job-site activities. Order and track materials and products.
Coordinate with customers, installers, vendors, and sales.
Track projects from sale to installation/customer satisfaction.
Take initiative and execute without waiting to be told what to do.
Manage multiple projects and priorities while meeting deadlines.
Qualifications2+ years of experience in sales support, sales coordination, project coordination, or administration preferred.
