Job Summary

Under the direction of the Deputy of Administrative Services, assists managers and professional staff to survey, investigate, and analyze operational problems/ issues of a confidential nature. Attains and sustains an optimum level of performance as measured by efficiency, effectiveness, morale, creativity and organizational climate. Recommends, designs, coordinates, supervises and/or conducts team-building and training workshops to meet project objectives. Serves as technical and administrative advisor in matters requiring an extensive knowledge of the rules, regulations, objectives, and protocols of the department and criminal law.

Acts in a supervisory/administrative capacity to address issues of concern between professional staff, management and support operations. Assumes primary supervisory responsibility and oversight of support staff functions, tasks, personnel and projects as directed. Investigates operational problems and recommends appropriate course of action to resolve problems and conflicts. May be required to perform other administrative duties as assigned.

Minimum Qualifications

  • Possession of a high school diploma or G.E.D. test certificate PLUS, eight (8) years full-time legal administrative work experience is required.

OR

  • Graduation from an accredited college or university with a Bachelor’s Degree supplemented by four (4) years of full-time legal administrative work experience is required.

Candidates who are contacted will be required to produce original required documents (e.g., current driver’s license, diploma, school transcript, certifications, etc.) listed on the Notice of Job Opportunity within five (5) days of being notified, in writing, by the Bureau Chief of BHR (or designee) that they have been provisionally placed on the Interview List. Candidates will be notified of how to submit required documents.

* Degrees awarded outside of the United States with the exception of those awarded in one of the United States territories and Canada, must be credentialed by either the World Education Services (WES) or Educational Credential Evaluators (ECE).

KNOWLEDGE, SKILLS,ABILITIES AND OTHER CHARACTERISTICS

Knowledge of the principles and techniques of office practices and procedures. Thorough knowledge of the types and preparation of criminal and civil legal documents. Skill performing highly specialized and confidential administrative work independently and developing and completing complex assignments with minimal direction. Ability to direct clerical, secretarial and administrative tasks/personnel within assigned area of supervision. Skill in interacting with others to investigate, gather and review sensitive or confidential materials, information and incidents of record.

Ability to perform administrative tasks using spreadsheet, word processing, and database software. Ability to serve as liaison on behalf of management relative to the screening, evaluation, promotion or discipline of employees. Ability to handle sensitive personnel and related labor issues as directed or as applicable. Ability to grasp and utilize the policies, protocols, systems, procedures and technical vernacular of the department and County applicable to assigned duties and responsibilities quickly and effectively.

Ability to accurately perform mathematical calculations and supervise account/expenditures on behalf of the executive staff. Ability to communicate effectively both in written and verbal formats with tact and courtesy to staff, internal departments and external agencies.
