Job Description

EVTCC is hiring a full-time
Operations Coordinator to manage and coordinate essential operational workflows that directly enable exam delivery and certification services. This role is customer-facing and detail-intensive, and it requires strong follow-through, discretion, and the ability to manage deadlines.

The Operations Coordinator works under the supervision of the Operations Manager and is accountable for executing assigned workflows end-to-end, escalating exceptions, and ensuring deadlines are met.

Essential duties
  • Execute and track exam-cycle logistics (as assigned) end-to-end, including preparation, shipping coordination, confirmations, and issue follow-up.
  • Execute scoring workflow and results distribution with accuracy checks, recordkeeping, and deadline adherence.
  • Provide customer service coverage for phones, general email, and mail, including issue triage and escalation.
  • Process level entries and certificates accurately and timely.
  • Manage order fulfillment end-to-end.
  • Complete registration entry and payment processing, including accurate recordkeeping.
  • Support Validation Conference preparation and logistics.
  • Maintain office organization and assist with office operations under the supervision of the Operations Manager
    .
  • Coordinate social media as assigned.
  • Provide additional operational support for the Manager (Executive) and Operations Manager as needed.
  • Minimum qualifications
    • High school diploma or GED.
    • Attention to detail and ability to follow documented procedures.
    • Strong customer service, communication, and listening skills.
    • Comfort with spreadsheets and databases; willingness to learn new systems.
    • Ability to handle sensitive customer and financial data with confidentiality.
    Preferred qualifications
    • Associate’s degree or relevant experience.
    • Experience in office administration, operations coordination, customer service, certification/testing administration, or a related support role.
