Overview
The Executive Assistant supports the Executive Officer by efficiently managing the day-to-day operations of the Northern Wasatch Home Builders Association. Key responsibilities include overseeing office administration, handling membership-related tasks, and ensuring smooth communication within the organization. The role also involves coordinating with the NWHBA Board of Directors and Committee Chairpersons, as well as serving as a liaison with Utah Home Builders Association and National Association of Home Builders.
Responsibilities- Manage office operations by handling incoming calls, assisting onsite visitors with membership enrollment, class registration & inquiries, and professional service referrals.
- Oversee and maintain the professional appearance and organization of the office environment.
- Oversee membership management by utilizing internal tools to organize NWHBA membership reporting, member business data, and retention efforts.
- Coordinate and facilitate all Pre-license and Continuing Education classes, managing communication with instructors, students, Utah HBA, and DOPL. Provide class materials and oversee classroom setup and cleanup.
- Support the planning and execution of events, including the Parade of Homes.
- Prepare and distribute meeting materials for the Board and Committees by coordinating with Chairpersons, uploading documents to Google Drive, and recording meeting minutes.
- Responsible for generating and pursuing leads to expand membership.
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office required;
Google Suite proficiency preferred. - Exceptional attention to detail and ability to manage multiple projects simultaneously.
- High School Diploma or equivalent education required
- 2 years of administrative experience preferred but not required
