Job Description

You will report directly to the President and will be responsible for overseeing the day‑to‑day administrative, accounting, billing, and office operations of the company. This position will play a key role in maintaining efficient business processes and supporting project managers, technical staff, and company leadership.

Primary Responsibilities
  • Management of project billing and invoicing utilizing Ajera accounting software.
  • Monitoring accounts receivable and coordinating collections activities.
  • Processing accounts payable and vendor payments.
  • Assisting with payroll administration and employee benefits coordination.
  • Maintaining project accounting records and supporting project managers with financial reporting.
  • Managing office administration, supplies, equipment, and vendor relationships.
  • Assisting with human resources administration, onboarding, and personnel records.
  • Preparing financial and operational reports for management.
  • Supporting annual audits, tax preparation, and other financial compliance activities.
  • Maintaining confidentiality of company and employee information.
Required Qualifications
  • 5+ years of prior office management, administrative, or HR support experience.
  • Experience working within an Architectural, Engineering, or A/E consulting firm preferred.
  • Experience with Accounts Payable, billing, invoicing, and collections
    .
  • Strong organizational, communication, and multitasking skills.
  • Ability to work independently and effectively manage multiple priorities.
  • Professional, approachable, and service-oriented mindset.
  • Ability to establish boundaries, maintain accountability, and confidently distinguish between responsibilities while supporting team needs.
Preferred Qualifications
  • Familiarity with Ajera project management and accounting software is a plus.
  • Experience supporting engineering, architecture, consulting, or other professional services environments.
  • Proficiency with Microsoft Office Suite and standard office software applications.
