Purpose Statement and Job Overview

The Office Aide provides essential administrative and clerical support to ensure the smooth daily operation of the school. This position serves as the primary coordinator for the school's copying center, manages the scheduling and logistics for substitute teachers, and oversees the administration and security of state and standardized testing. The ideal candidate is highly organized, capable of multitasking in a fast‑paced educational environment, and able to maintain strict confidentiality while delivering courteous, professional service to students, families, and staff.

Essential

Functions Substitute Teacher Coordination
  • Serve as the primary point of contact for daily substitute teacher fulfillment using the district’s absence management system.
  • Monitor daily staff absences and ensure all classrooms are adequately covered prior to the start of the school day.
  • Greet substitute teachers upon arrival, provide them with necessary keys, badges, lesson plans, and classroom schedules, and orient them to building procedures.
  • Maintain accurate records of staff absences and substitute coverage for payroll and auditing purposes.
  • Troubleshoot coverage shortages by coordinating with available internal staff or administration.
  • Provide training and ongoing support to school staff on the use of the absence management system.
State & Standardized Testing Coordination
  • Organize, schedule, and execute all school-wide state and standardized testing (e.g., RISE, WIDA, or other district‑mandated assessments).
  • Maintain strict inventory, security, and chain‑of‑custody protocols for all testing materials before, during, and after testing windows.
  • Create comprehensive testing schedules, assign proctors, and ensure appropriate room accommodations are made.
  • Provide training and instructional materials to teachers and staff regarding testing protocols and security guidelines.
  • Coordinate make‑up testing sessions for absent students to ensure compliance with district and state participation requirements.
Copying Center Management
  • Manage the daily operations of the school’s copy center, fulfilling duplication requests for teachers, administrators, and staff in a timely manner.
  • Prioritize print jobs based on urgency, volume, and instructional needs.
  • Perform basic maintenance and troubleshooting on standard office equipment (copiers, laminators, binding machines, paper cutters) and submit timely service requests to district IT or external vendors when necessary.
  • Monitor and manage the inventory of paper, toner, staples, and other copy room supplies, communicating restocking needs to the head secretary.
General Office Support
  • Assist the main office with answering multi‑line phone systems, routing calls, and taking accurate messages.
  • Provide excellent customer service to students, parents, and visitors at the front desk.
  • Assist with student attendance tracking, checking students in/out, and issuing hall passes as needed.
  • Perform other clerical duties as assigned by the school administration to support the educational mission of the school.
Attendance is an Essential Function of this Position
  • Physical presence at the worksite is an essential function of this position. The role requires in‑person collaboration, direct interaction with team members, other staff, students, and/or guardians, and access to on‑site equipment and resources.
