The Graduate Admissions Coordinator provides enrollment/registration assistance to all applicants to Immaculate Conception Seminary School of Theology, including seminarians, diaconal candidates, priests, religious sisters and brothers, and lay students. The Coordinator is the primary contact with inquirers as well as key offices of the University, Archdiocese, and sending dioceses and religious orders regarding enrollment policies and procedures and the resolution of enrollment issues.

The Coordinator represents the School of Theology at Graduate Open Houses, off-campus orientations and similar events, and organizes and leads the annual orientation for new students.

As the SEVIS Primary Designated School Official, the Coordinator is responsible for day-to-day regulatory compliance and administration for all F-1 Visa International Graduate Students, as required by the US Department of Homeland Security's Student and Visitor Exchange Program (SEVP).

Duties and Responsibilities:

SEVIS COMPLIANCE:
Collaborates with Seton Hall's Office of International Programs. Serves as the Primary Designated School Official (PDSO) for the School of Theology ensuring regulatory compliance with the regulations of the Student Visitor Exchange Program's (SEVP) Student and Exchange Visitor Information System (SEVIS) pertaining to all School of Theology graduate students holding F-1 visa students.

Prepares and submits SEVIS Recertification Petition.

Updates and submits changes to the information for School of Theology SEVIS record officials and user roles.

Serves as school information (Form I-17) and SEVP recertification application (Form I-17). Serves as point of contact on any system alerts generated by SEVIS.

Works closely with the Associate Deans, Vocation offices of sending Dioceses, Religious Order Superiors and Redemptoris Mater Seminary to facilitate and manage students' SEVIS compliance.

Advises students in ascertaining eligibility to obtain F-1 visas, leaves of absence, extension of programs, completion of records, lawful work and international travel, maintenance of future eligibility to apply for permanent U.S. residency, and avoidance of non-compliance.

Communicates with Student Exchange Visitor Program/Student Exchange Visitor Information System (SEVPS/SEVIS) personnel regarding issues related to F-1

Visa students holding Form I-20's, communicates with U.S. Customs and Immigration Services regarding Post-Completion Optional Practical Training (OPT).

Coordinates with sending Archdiocesean, Diocesan and Religious Order houses of formation, Archdiocesean Legal Counsel, SEVP/SEVIS, and U.S. Customs and Immigration Services (USCIS) to facilitate application process and compliance issues related to F-1 visa students applying for Post-Completion OPT, in response to increased USCIS requirements for graduates who will need to apply for R-1 change of visa status.

Supervises Designated School Official (DSO) and facilitates preparation and disbursement of I-20 forms to allow new international students to contact U.S. Embassies in their respective home countries and apply for a visa to enter the United States.

Supervises DSO data input of reportable events with SEVIS as they occur (i.e., change of local or foreign address, registration on a semester basis).

Facilitates transfer of international student I-20's between School of Theology and other institutions.

Maintains designated screens in the University Banner system for all international students.

Conducts yearly Information Orientations for new and transfer international students.

Develops, implements and updates reporting procedures and policy manuals.

Prepares and delivers written and oral reports for Seminary administration each semester regarding student information updates and SEVIS compliance.

Stays abreast of current policies and changes in immigration regulations pertaining to F-1 visa students. Attends training pertaining to F1 and attends workshops pertaining to this and SEVIS.

Participates in and/or leads meetings on campus with Office of Provost, Internal Auditor, Office of International Programs, Bursar and Director of Banner Academic and Student Information Systems related to SEVIS and Banner issues.

Serves as member of the Archdiocese of Newark Immigration Committee, collaborating with the Office of Clergy Personnel, Immigration Legal Counsel, Vocation Director, Vice Rector of Redemptoris Mater Seminary, other offices of the Archdiocese and the Associate Dean.

Assists ICSST deans and Center for Diaconal Formation leaders in any issues related to international student applications and registrations.

GRADUATE ADMISSIONS:
Works closely with Associate Deans, Director, Center for Diaconal Formation, Archdiocesan, Diocesan, Redemptoris Mater Seminary and Religious Orders Vocations Directors to facilitate new student Graduate application process.

Represents the School of Theology at Graduate Open Houses and similar University-sponsored events.
