Job Description
Amerapex is seeking a highly organized, detail-oriented, and energetic self-starter to support daily administrative operations. This position plays a critical role in coordinating internal processes, supporting field technicians and business development teams, and ensuring smooth day-to-day office functionality.
The ideal candidate is professional, personable, solution-oriented, and thrives in a fast-paced environment. Strong communication skills, advanced organization, and the ability to multitask under pressure are essential.
Key ResponsibilitiesResponsibilities include, but are not limited to:
- Coordinate onboarding of new technicians, including training, PPE, safety courses, and related new hire processing
- Serve as the primary timekeeper for the division
- Review, audit, and verify field timesheets for accuracy and completeness
- Ensure proper coding of job numbers and coordinate with supervisors to resolve discrepancies prior to payroll processing
- Book domestic and international travel arrangements
- Assist with expense reports for business development teams and technicians
- Prepare invoices for submission to Accounting
- Maintain organized filing systems (physical and electronic)
- Schedule and coordinate internal and external meetings
- Interact professionally with customers and business contacts
- Minimum of two (2) years of related administrative experience
- Strong written and verbal communication skills
- Proficiency in Microsoft Office, particularly Excel
- Ability to maintain confidentiality and exercise sound judgment
- Excellent organizational and multitasking skills
- Strong problem-solving ability and attention to detail
- Ability to work effectively in a fast-paced, high‑pressure environment
- Professional demeanor and strong interpersonal skills
- Willingness to learn new applications and systems
- Ability to work in a standard office setting and operate office equipment
- Ability to sit for extended periods of time
- Ability to lift and carry files up to 5 pounds
- Vision to read printed materials and computer screens
- Hearing and speech sufficient to communicate in person and via telephone
- Ability to maintain attention to detail despite interruptions
- Ability to perform effectively under high levels of stress
