Position Overview

The All Souls Catholic School Receptionist will serve as the first point of contact for students, parents, faculty, visitors, ensuring a welcoming environment that reflects the values and mission of our school.

Skills and Qualifications
  • High School Diploma or equivalent is required; an Associate’s or Bachelor’s degree in Early Childhood Education, Child Development, Recreation Management, or a related field is strongly preferred.
  • Excellent organizational and interpersonal skills are needed to work with students, teachers and the community
  • Paylocity experience a plus
  • Strong time-management skills and multitasking ability
  • Computer skills necessary: knowledge of Google Suite;
    Microsoft Word and Excel
  • Bilingual preferred
Essential Functions
  • Front Desk Operations:
    Greet and assist all visitors, students, and staff in a friendly and professional manner.
  • Answer and direct phone calls, respond to inquiries, and provide accurate information about the school.
  • Visitor Management:
    Maintain a secure and safe environment by following safety protocols for visitors, including verifying identification, issuing visitor badges and monitoring visitor access to the school premises.
  • Communication:
    Manage incoming and outgoing communications, including phone calls, emails, and written correspondence. Distribute messages to appropriate staff members promptly.
  • Administrative Support:
    Assist with general office tasks such as filing, copying, and data entry.
  • Support the administrative team with various projects and tasks as needed.
  • Student and Parent Interaction:
    Assist students and parents with inquiries, provide information on school policies, and facilitate communication between parents and teachers as necessary.
  • Record Keeping:
    Maintain accurate records of visitor logs, student attendance, and other essential documents. Ensure confidentiality and proper handling of sensitive information.
  • Emergency Responses:
    Act as a key contact during emergency situations, following established procedures to ensure the safety of students, staff, and visitors.
  • Calendar Management:
    Assist in managing the school calendar, including scheduling appointments and coordinating meetings for the administrative team.
  • Mail and Package Handling:
    Receive, sort, and distribute mail and packages. Ensure timely delivery of appropriate departments or individuals.
  • Supplies Management:
    Monitor and order office supplies as needed to maintain adequate inventory levels.
  • Work towards, obtain, and maintain Certified Administrative Professional (CAP) Ability to multitask, prioritize, and work efficiently in a fast-paced environment. Discretion and the ability to handle confidential information with discretion
  • Operate at a skill level of "capable" to "intermediate" with Microsoft Suite and Google Suite.
  • Operate office equipment (eg. fax machines, printers).
  • Familiarity with school operations and the ability to interact positively with children, parents, and staff.
  • Handle all immunization records & medications
  • Count & organize money rosters for various school events
  • Print appropriate receipts and/or write out receipts (tuition)
  • Manage lunch distributions
  • Cover yard duty when needed
  • Cover teacher breaks when needed
  • Perform such duties and related tasks that may be assigned

Salary info: $30,000-$40,000 depending on experience.
