Job Description We are seeking a Senior Administrative Business Partner to support leaders across the Cell Therapy Center of Excellence and the Autonomous Labs Accelerator. The ideal candidate will have strong experience in executive administrative support, complex calendar and travel management, cross-functional coordination, and operational execution and a proven ability to enable executive effectiveness while driving efficient team operations. Responsibilities:
Provide comprehensive executive support, including complex calendar management across time zones, meeting preparation, and action tracking. Coordinate domestic and international travel with detailed itineraries and real-time support. Draft, edit, and format presentations, correspondence, reports, and briefing materials. Screen and prioritize meeting requests and serve as a primary point of contact for executive communications. Process expenses, purchase requests, invoices, and related transactions with discretion and accuracy.

Coordinate leadership meetings, workshops, offsites, and organizational events for both organizations. Support onboarding by coordinating schedules, resources, training, and integration activities. Maintain shared resources, distribution lists, documentation, and collaboration sites. Coordinate logistics for cross-functional meetings across external collaborators. Partner with Finance, P&C, Communications, Procurement, and other functions to support program operations. Manage vendor engagement, purchase orders, statements of work, contracts, and invoice processing.

Support lab and office operations, including space planning, equipment moves, and site services coordination. Identify and implement process improvements and adopt new tools, including AI-enabled solutions, to increase team efficiency. Lead and manage large lab moves over 8,500 sqft, including equipment and materials logistics, site services coordination, space planning, SoWs, purchase orders, and vendor communications. Qualifications:

Minimum of 7 years of relevant experience with significant executive administrative support. Demonstrated ability to manage multiple competing priorities with attention to detail. Experience coordinating complex calendars, travel, meetings, and events. Strong written and verbal communication skills and executive professionalism. High level of discretion and confidentiality handling sensitive information. Proficiency with Google Workspace, Microsoft Office, Zoom, and collaboration tools. Experience supporting cross-functional teams in dynamic environments.

Preferred

Skills:

Experience supporting senior leaders in biotechnology, healthcare, or global matrix organizations, with the ability to support multiple executives concurrently. Familiarity with procurement, contracts, and financial administrative processes. Experience using digital productivity or AI-enabled tools to improve workflows.
