The Stock Administrator manages the loading of sales orders, stock transfers, and production data onto Syspro, ensuring accuracy and timely reporting. It includes coordinating monthly stock takes, resolving stock variances, and maintaining clear communication with TSRs, storemen, and senior stakeholders. Additionally, the role focuses on fostering strong relationships with team members, assisting with stock transfers, and ensuring smooth warehouse operations.
Key Responsibilities Loading of TSR sales orders & Transfers- Receive copies of delivery notes from TSRs and DC Storeman.
- Confirm that the delivery note has been fully completed including.
- Purchase Order number if required.
- Load Sales Orders on behalf of respective TSR.
- Supply the sales order number to the TSRs.
- Ensure the Sales Order is loaded from the correct warehouse so that stock is moved correctly.
- Check the Delivery Note Recon for respective RealIPM representative and confirm delivery note sequence is correct.
- Request outstanding delivery notes if they are missing from the sequence.
- Receive copies of delivery notes from TSRs and DC Storeman.
- Load the Stock Transfer on behalf of respective TSR or Storeman.
- Request outstanding delivery notes if they are missing from the sequence.
- Provide the supplier GTR number to the respective TSRs.
- Check previous days production volumes on the warehouse floor against the following: product type, packaging, quantity, batch number and manufacturing / expiry date.
- Loading confirmed production quantities onto Syspro on a daily basis.
- Schedule monthly stock takes with each TSR and store men.
- Ensure all transfers have been completed before opening the stock take.
- Open and close stock take before and after the stock take has been completed.
- Compile and send stock variance report to each TSR /Warehouse.
- Review stock variances from each Syspro warehouse after stock take.
- Communicate with respective RealIPM representative to find the errors in stock incoming or exiting the warehouse.
- Solve stock variances.
- Discuss unresolved variances with Operations Manager to initiate next step decision making on stock write-off.
- Maintain strong relationships with team members, head office, and other warehouses.
- Assist other areas with stock transfers and deliveries as needed.
- Ensure seamless communication with TSRs and senior stakeholders (Regional Manager, Inventory Manager, and Operational Manager) regarding stock and deliveries.
- 5 Year Experience
- Proficiency in Excel and Word
- Proficiency in Syspro
- Strong understanding of logistics and supply chain management.
- Product knowledge.
- Strong organisational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Understanding of advanced business planning and regulatory issues
- Data analysis and performance metrics
- Ability to diagnose problems quickly and foresee potential issues
