Fleet Manager

Location: Kraaifontein

Salary: R30K – R35K CTC p.m. (depending on experience)

Role Overview

The Fleet Manager is responsible for managing and overseeing the day-to-day operations of the depot or plant, including night shift operations where required. The role focuses on planning and scheduling fleet activities, managing drivers and vehicles, maintaining operational efficiency, and ensuring excellent customer service in line with client Service Level Agreements.

Key Responsibilities Budget and Financial Control
  • Ensure all invoices and purchase orders are approved and submitted to Finance.
  • Follow up on outstanding payments.
  • Manage insurance claims, traffic fines, and vehicle maintenance costs.
  • Monitor and manage driver hours.
  • Assist with budget preparation and resource planning using operational data and analysis.
Client Service and Relationship Management
  • Deliver services in accordance with agreed SLAs.
  • Build and maintain professional relationships with internal teams, clients, and stakeholders.
  • Handle client queries and operational challenges promptly and professionally.
  • Support high levels of customer satisfaction and service delivery.
Fleet and Operational Management
  • Oversee and manage the assigned fleet of vehicles.
  • Schedule vehicle maintenance, servicing, licensing, and weekly inspections.
  • Manage washbay activities and vehicle cleanliness.
  • Coordinate and manage vehicle breakdowns where applicable.
  • Monitor and manage diesel consumption.
  • Load and manage trips on the internal operating system.
  • Plan routes and schedule drivers’ working hours.
  • Ensure correct loading procedures and completion of all required paperwork.
  • Coordinate old and new orders effectively to maintain operational flow.
Site Management
  • Oversee washbay operations.
  • Manage workshop activities and related operational processes.
Reporting and Administration
  • Complete daily debrief paperwork.
  • Prepare and submit weekly operational statistics.
  • Prepare and submit weekly financial reports to clients.
  • Analyse and submit monthly operational reports.
Operational Efficiency
  • Work closely with drivers and operational staff to improve efficiencies.
  • Ensure superior customer service delivery within SLA requirements.
  • Identify opportunities to reduce waste and streamline processes.
Staff Management
  • Manage driver performance, including monitoring fuel consumption and operational reports.
  • Manage driver PDPs, licences, leave, and overtime records.
  • Address employee concerns and grievances professionally.
  • Support staff development, motivation, and performance improvement.
  • Promote teamwork and collaboration within the depot or branch.

Authority and Decision‑Making

The role involves resolving customer and driver-related operational issues within approved authority limits. Major decisions require approval from the relevant management authority.

Internal: Operational staff, drivers, finance team.
External: Customers and clients.

Minimum Requirements Qualifications
  • Matric certificate
  • Computer literacy (MS Office and Outlook)
  • Relevant tertiary qualification advantageous
Experience
  • Minimum 2 years’ experience in a transport or logistics environment
  • Proven experience managing customer portfolios
  • Industry-specific experience advantageous
