As Discover Bermuda Support Executive, you will support the planning and delivery of Fairmont Southampton's destination management services, with particular focus on luxury group, incentive and customized destination programs. Working closely with Discover Bermuda Managers, you will coordinate program logistics, transportation, suppliers, documentation and guest requirements, helping deliver seamless, commercially sound experiences that showcase the best of Bermuda and reflect Fairmont's luxury service standards.,
Destination Program & Logistics Support
- Support the planning and execution of group and incentive programs, including airport transfers, transportation, excursions, dine-arounds, entertainment, off-site events and customized experiences.
- Prepare and maintain itineraries, manifests, schedules, guest lists, transportation movements and other operational documentation.
- Coordinate airport arrivals and departures, meet-and-greet services, luggage requirements and guest transportation.
- Confirm suppliers, venues, guides, entertainment and activities, ensuring details and deadlines are accurate and complete.
- Support pre-program checks, onsite execution, set-up and breakdown as required.
- Track program changes and communicate updates promptly to Managers, suppliers and resort departments.
- Assist with contingency arrangements for weather, transportation disruptions and changing program requirements.
- Respond to routine guest, client and meeting planner requests promptly and professionally, escalating significant changes or concerns to a Discover Bermuda Manager.
- Provide knowledgeable recommendations on Bermuda experiences, attractions and activities.
- Support client site inspections and planning visits, including itineraries and program materials.
- Provide onsite support during arrivals, departures, excursions, events and other key program moments.
- Ensure every interaction and experience reflects Fairmont's luxury standards and the unique character of Bermuda.
- Liaise with transportation providers, tour operators, venues, attractions, guides, restaurants, entertainers and activity providers.
- Maintain accurate supplier availability, pricing, confirmations and operational information.
- Assist in researching and developing new destination experiences and partners.
- Monitor supplier delivery during programs and promptly communicate service or operational issues.
- Support Discover Bermuda Managers, Sales and Events with proposals, itineraries, destination concepts and program costings.
- Maintain accurate bookings, supplier costs, client pricing and program records.
- Assist with supplier invoices, program expenses and financial documentation.
- Support post-program reconciliation, ensuring costs and invoices are accurate and complete.
- Identify opportunities to enhance programs and generate incremental Discover Bermuda revenue.
- Maintain accurate program files, schedules, manifests, checklists and operational documentation.
- Coordinate program materials, signage, supplies and guest amenities as required.
- Ensure effective communication between Discover Bermuda, Events, Sales and resort operations.
- Participate in program briefings, operational meetings and post-program reviews.
- Support departmental reporting and administration as required.

- Experience supporting group programs, transportation, tours, events or guest experiences is an asset.
- Knowledge of Bermuda's attractions, culture and tourism landscape is highly desirable.
- Diploma or Bachelor's degree in Hospitality, Tourism, Event Management, Business or a related field preferred, or equivalent relevant experience.
- Exceptional organization and attention to detail, with the ability to manage multiple deadlines and changing requirements.
- Excellent communication, interpersonal and guest service skills.
- Resourceful, proactive and solutions-focused, with strong follow-through.
