Admissions Specialist/Administrative Assistant

The Admissions Specialist/Administrative Assistant for the Student Success Center/Admissions is responsible for processing applications and other documentation for admissions to the College and supporting the Student Success Center with day-to-day operations. This is a 12-month general staff position reporting to the District Director of Admissions/Registrar and Campus Dean.

Qualification:
  • Associate degree in General, Business, Education, or a related area
Preferred Qualifications:
  • One year of college administrative experience primarily in the areas of Student Records, Registration, Admissions, or other support areas
  • Experience in the ability to communicate effectively both written and orally
  • Demonstrated success working with a team
Duties and Responsibilities:
  • Greet and assess the needs of center visitors while maintaining a high level of professionalism and friendliness with each encounter.
  • Manage the day-to-day flow of visitors to the center by properly directing them to the appropriate staff member.
  • Respect the privacy of center visitors and ensure confidentiality is maintained.
  • Manage center telephone line.
  • Assist and support staff members with various tasks such as copying, filing, and scheduling appointments.
  • Assist with New Student Orientation, registration, graduation, and other events each semester.
  • Work with the University of Mississippi to promote the 2+2 and Path4 programs.
  • Process, scan, and evaluate admissions applications and other admission-required documents.
  • Assist in the verification of information for National Student Clearinghouse (Enrollment and Graduation).
  • Download, process, receive, scan, and articulate high school and college transcripts.
  • Determine acceptable transcripts for the purpose of admissions (regionally accredited versus national accreditation).
  • Communicate daily with other departments.
  • Articulate AP scores.
  • Articulate JST military credits.
  • Manage announcements and information displayed on TV monitors throughout the campus.
  • Perform other related duties as requested by the Manager of the Student Success Center, Registrar, and Dean of the DeSoto Campus.
  • Required Knowledge, Skills, and Abilities:
    • Extensive knowledge of admissions, registration, and student records policies and procedures.
    • Knowledge of relevant federal and state regulations, especially FERPA and international student regulations.
    • Excellent communication skills, both written and verbal, with the ability to communicate effectively with a diverse range of constituents.
    • Strong analytical, problem-solving, and critical thinking skills.
    • Proficiency with Microsoft Office Suite and experience with database management systems.
    • Ability to work independently, prioritize tasks, and manage multiple projects simultaneously.
    • Proficient with computers, Microsoft Office Suite, and be comfortable using new and changing technology.
    • Must be able to represent the college in a positive and professional manner.
    • Must interact with students a warm and welcoming professional demeanor.
    • Possess strong interpersonal, time management, and organizational skills.
    • Detailed oriented and thorough in completing work tasks.
    • Professional demeanor with the ability to maintain consistent communication.
    Physical Demands and Work Environment:
    • Ability to work in a team-based environment.
    • Communicate with others in person, phone, and via email.
    • Sit, use hands to handle or feel, and reach with hands and arms.
    • Stand, walk, stoop, or kneel.
    • Must be able to lift up to 30 pounds.
    • Must have ability to walk, climb stairs, stand, bend, and squat.
