Omega Foundation Services, Inc is looking for Project Coordinator(s) to join the team!

Position Summary

The Project Coordinator supports the successful planning, execution, and closeout of heavy civil construction projects by providing administrative, technical, and operational support to Project Managers and field teams. This position is responsible for coordinating project documentation, procurement, scheduling, subcontractor communications, and cost tracking while ensuring projects are completed safely, on schedule, within budget, and in accordance with contract requirements.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced construction environment.

Essential Duties and Responsibilities
  • Assist Project Managers with the planning, coordination, and administration of heavy civil construction projects from award through project closeout.
  • Prepare and maintain project documentation including submittals, Requests for Information (RFIs), change orders, meeting minutes, daily reports, and project correspondence.
  • Coordinate with owners, engineers, inspectors, subcontractors, vendors, and field personnel to ensure timely communication and project execution.
  • Support procurement activities by obtaining quotes, issuing purchase orders, tracking material deliveries, and coordinating equipment rentals.
  • Monitor project schedules and assist in identifying potential delays, conflicts, or resource constraints.
  • Track project costs, quantities, invoices, subcontractor pay applications, and budget performance.
  • Assist with project forecasting, cost reporting, and monthly project status updates.
  • Coordinate utility locates, permits, inspections, and project compliance documentation.
  • Maintain electronic and hard-copy project files in accordance with company standards.
  • Assist in preparing bid packages, subcontract agreements, and project startup documentation.
  • Support field operations by coordinating labor, equipment, materials, and subcontractor activities.
  • Participate in project meetings and distribute meeting agendas, notes, and action items.
  • Ensure compliance with contract documents, company policies, quality standards, and applicable regulations.
  • Promote a strong safety culture by supporting OSHA compliance and company safety initiatives.
  • Assist with project closeout including punch lists, as-built documentation, warranties, final invoicing, and owner turnover packages.
Qualifications
  • Associate's or Bachelor's degree in Construction Management, Civil Engineering, Engineering Technology, Business, or a related field preferred.
  • Minimum of 2–5 years of experience in construction project coordination, project engineering, or project administration, preferably in heavy civil construction.
  • Experience supporting public works, DOT, municipal, utility, site development, bridge, highway, or infrastructure projects is preferred.
  • Working knowledge of construction contracts, specifications, drawings, and project documentation.
  • Strong understanding of project scheduling, procurement, budgeting, and cost control.
  • Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
  • Experience with construction management software such as Procore, HCSS, Viewpoint Vista, Heavy Job, Primavera P6, Microsoft Project, or similar platforms is preferred.
  • Ability to read and interpret civil plans, specifications, and engineering drawings.

Physical Requirements
  • Ability to travel to construction project sites as needed.
  • Ability to walk active construction sites over uneven terrain.
  • Ability to work in varying weather conditions while visiting project sites.
  • Ability to lift up to 25 pounds occasionally.
  • Ability to wear required personal protective equipment (PPE) including hard hat, safety vest, boots, eye protection, and hearing protection.
