Heavy Civil Equipment Coordinator

Job Description Position Summary

The Heavy Civil Equipment Coordinator is responsible for managing the company's fleet of heavy construction equipment to ensure equipment availability, reliability, and cost-effective utilization across multiple construction projects. This role coordinates equipment assignments, transportation, preventive maintenance, repairs, inspections, rentals, and fleet documentation while working closely with project managers, superintendents, mechanics, dispatch personnel, and vendors.

The Equipment Coordinator plays a critical role in minimizing equipment downtime, controlling operating costs, and supporting safe, efficient project execution.

Essential Duties and Responsibilities Equipment Coordination & Fleet Management
  • Coordinate the daily allocation and movement of heavy equipment between projects based on operational needs.
  • Monitor fleet utilization and recommend equipment redistribution to maximize productivity.
  • Schedule equipment deliveries, pickups, mobilizations, and demobilizations.
  • Maintain accurate records of equipment locations, operating hours, and project assignments.
  • Coordinate rental equipment requests and oversee rental returns to minimize unnecessary costs.
  • Track equipment availability and communicate fleet status to project teams.
Maintenance & Repairs
  • Coordinate preventive maintenance schedules in accordance with manufacturer recommendations and company standards.
  • Schedule repairs and communicate with field personnel to minimize equipment downtime.
  • Work closely with shop mechanics and field service technicians to prioritize repairs.
  • Track repair history, maintenance records, warranties, and equipment service intervals.
  • Monitor equipment inspections and ensure compliance with regulatory requirements.
Project Support
  • Collaborate with Project Managers and Superintendents to forecast equipment needs for upcoming projects.
  • Coordinate specialized equipment requirements for civil, concrete, grading, excavation, utility, paving, and bridge operations.
  • Monitor equipment productivity and identify opportunities to improve fleet efficiency.
  • Assist with equipment budgeting and project equipment planning.
Inventory & Asset Management
  • Maintain fleet inventory records including ownership, rental agreements, licensing, inspections, and certifications.
  • Track equipment operating hours, fuel consumption, and maintenance costs.
  • Coordinate purchases of replacement parts and consumables as needed.
  • Assist in evaluating equipment replacement and disposal recommendations.
Safety & Compliance
  • Ensure all equipment inspections are completed and documented.
  • Coordinate DOT requirements for equipment transportation where applicable.
  • Verify operators are properly trained and qualified.
  • Promote safe equipment operation and compliance with OSHA and company safety policies.
  • Investigate equipment-related incidents and recommend corrective actions.
Administrative Responsibilities
  • Maintain equipment databases and fleet management software.
  • Prepare utilization, maintenance, and cost reports for management.
  • Process equipment work orders and maintenance requests.
  • Coordinate vendor service calls and maintain supplier relationships.
  • Assist with annual fleet budgeting and capital equipment planning.
Qualifications
  • Diesel Technology, Fleet Management, or related field preferred.
  • Minimum 5 years of experience in heavy civil construction, equipment management, fleet operations, or equipment maintenance.
  • Strong understanding of heavy construction equipment, including excavators, bulldozers, graders, loaders, scrapers, compactors, cranes, pavers, rollers, skid steers, and haul trucks.
  • Knowledge of preventive maintenance programs and equipment repair processes.
  • Experience coordinating multiple projects and competing equipment priorities.
  • Strong organizational and communication skills.
  • Proficiency with Microsoft Office and fleet management software.
  • Valid driver's license.
Preferred Certifications
  • OSHA 30-Hour Construction Certification
  • Commercial Driver's License (CDL) preferred
