Position Overview
The Secretary, Medical Admin Sr provides advanced administrative and clerical support to physicians, advanced practice providers, and clinical staff. This role coordinates office operations, manages complex scheduling and program support, and serves as the primary liaison for clinical, academic, and administrative functions.
Schedule
:
Monday through Friday, 08:30 AM – 5:00 PM (Day Shift, 40 hours per week)
Compensation
: $16.60–$31.37 per hour, final offer may vary based on experience, skills, and qualifications. Signing bonus may be available.
- Patient Scheduling, Registration, and Coordination – schedules and coordinates inpatient and outpatient visits, registrations, insurance verification, new patient intake, and escalates urgent patient‑care needs.
- Communication and Customer Service – answers and screens phone calls, greets visitors, provides procedure and policy information, serves as liaison between patients, families, and caregivers, escorts patients to examination rooms, and chaperones examinations as required.
- Documentation, Transcription, and Correspondence – transcribes medical reports, produces correspondence, proofreads and edits materials, prepares letters and forms, and maintains patient charts and records in compliance with HIPAA regulations.
- Meeting, Program, and Faculty Support – arranges internal and external meetings, prepares and distributes agendas and minutes, makes travel arrangements, and coordinates residency, fellowship, clerkship, or other educational programs as assigned.
- Billing and Financial Processing – collects patient copayments, processes payments, maintains deposit records, and performs on‑site charge entry for billing.
- Office and Administrative Operations – processes routine administrative paperwork, maintains confidential files, monitors office supplies, and ensures maintenance of office equipment.
- Education:
High School diploma or equivalent. Preferred:
Completion of a medical secretary, medical assistant, or related vocational training program. - Experience:
Minimum two years in a medical office or healthcare setting; proficiency in Microsoft Office Suite and electronic health record (EHR) systems. - Skills:
Strong organizational, communication, and customer service skills; ability to maintain confidentiality; demonstrated ability to manage multiple priorities in a fast‑paced environment. - Preferred:
Previous experience providing administrative support in an academic medical office, familiarity with medical terminology, insurance authorization processes, and clinical workflows.
Work is considered sedentary and performed indoors in a normal office environment.
