The Accounts Payable Analyst is responsible for ensuring timely and accurate processing of invoices, credit card reconciliations, vendor communications, and support of the Accounts Payable team. This role requires attention to detail, proactive problem-solving, and the ability to manage multiple priorities to support the organization's financial operations.

Responsibilities/Duties:

  • Monitor the inbox for regular invoices and ensure invoices are renamed and saved on time without delay.
  • Monitor the credit card inbox regularly and process credit card invoices as they come in.
  • In case of discrepancies, contact the buyer to resolve issues.
  • When required, contact suppliers over email or phone to acquire required documents on time.
  • Download reports and reconcile credit cards on a weekly basis; reconcile and close credit cards before month-end.
  • Answer AP inquiries and provide vendors with payment schedule within 24‑48 hours.
  • Download freight carrier invoices, make payments on time, disburse invoices to buyers, follow‑up with buyers and, if necessary, escalates to avoid delays.
  • Distinguish between invoices owed by Chemico Systems and Chemico LLC.
  • Assist AP manager with account reconciliation, month‑end reconciliation, and other additional tasks as required.
