About the Opportunity
Our client is a rapidly growing, privately held organization seeking a highly professional and proactive Executive Assistant to provide direct support to the President. This is a high‑visibility role that offers the opportunity to serve as a trusted partner to an executive leader while helping drive organizational efficiency and execution.
This is a unique opportunity to build and define the Executive Assistant function for the President. As the first Executive Assistant the President has hired, we are seeking a seasoned professional who can bring structure, best practices, and a high level of executive support experience to the role. The ideal candidate will be comfortable operating independently, anticipating needs, establishing processes, and helping maximize the President's effectiveness across the organization.
This is a hybrid position based in Southfield, MI. The Executive Assistant is expected to be in the office whenever the President is on‑site.
Key Responsibilities- Manage the President's complex calendar, scheduling meetings, appointments, and travel arrangements.
- Coordinate internal and external meetings, including preparation of agendas, presentations, reports, and meeting materials.
- Serve as a primary point of contact for executive communications, ensuring timely and professional follow‑up.
- Screen and prioritize incoming requests, correspondence, and communications.
- Assist with special projects, strategic initiatives, and executive‑level presentations.
- Prepare reports, presentations, and business correspondence with a high degree of accuracy and professionalism.
- Coordinate domestic and international travel, including detailed itineraries and expense reporting.
- Track action items and follow up with stakeholders to ensure deadlines and commitments are met.
- Partner with senior leaders across the organization to facilitate communication and support business priorities.
- Maintain the highest level of confidentiality when handling sensitive business and personnel information.
- Help organize leadership meetings, company events, and board‑related activities as needed.
- Recommend and implement processes, systems, and administrative best practices that enhance executive productivity and organizational effectiveness.
- 7+ years of Executive Assistant experience supporting senior executives, preferably at the President, CEO, Founder, or C‑suite level.
- Demonstrated success operating independently and establishing executive support processes and structure.
- Exceptional organizational and time‑management skills.
- Strong written and verbal communication abilities.
- Ability to manage multiple priorities and work independently with minimal supervision.
- Demonstrated discretion and professionalism when handling confidential information.
- Advanced proficiency with Microsoft Office, including Outlook, Excel, PowerPoint, and Word.
- Strong attention to detail and commitment to accuracy.
- Experience supporting executives within a growing, entrepreneurial, or fast‑paced organization is highly preferred.
- A proactive problem solver who anticipates needs before they arise.
- A trusted business partner who can effectively represent the President internally and externally.
- A highly experienced Executive Assistant who can create structure and establish best practices in a newly created role.
