This position will oversee the front desk operations, ensuring smooth phone coverage and a great first impression for patients. The role assists the Practice Administrator as needed and may act as proxy in the Administrator's absence.
Essential Duties & Responsibilities- Resolve patient account issues
- Address A/R accounts with patients before treatment is rendered
- Manage office collection accounts and all incoming web inquiries and email correspondence
- Maintain an environment that promotes an outstanding patient experience
- Ensure the office is clean and presentable daily
- Manage schedule for front desk staff, arrange coverage for time off, and delegate duties
- Process payroll as needed for all administrative staff
- Serve as backup for patient coordinator and specialty treatment coordinators when needed
- Address performance concerns with patient coordinators as needed
- Lead new employee orientation and training in the office
- Train and update patient coordinators and new employees on policy changes and new-hire training including HIPAA, OSHA, and Sexual Harassment
- Assist with DV login
- Order uniforms
- Create schedules
- Ensure daily processing of Dental Exchange and NEA is completed
- Track, audit, and oversee daily/monthly bank deposits and petty cash
- Order business office supplies within budgeting guidelines provided by the Practice Administrator
- Critique router slips and charts for the next business day and ensure all charts are pulled and transferred if needed
- Oversee maintenance of charts and archive charts as needed
- Maintain the daily dashboard and hold the team accountable for completing it
- Keep a retail product inventory log cross referenced with DV and order retail products as needed
- Organize incoming and outgoing mail
- Maintain strict compliance with federal, state, and other regulations (OSHA, WC, Dental Board, HIPAA, ADA, DOL, company policies and procedures)
- Other tasks as requested by direct manager
- 2–3 years of dental office front desk experience
- Management experience preferred
- High school diploma or GED
- Ideal candidates will have a bachelor’s degree in healthcare administration or another related degree
- Proven track record of developing highly productive working relationships
- Strong computer skills including Microsoft Office and healthcare practice management systems
- Superior customer service skills and successful record of customer relations management
- Excellent written and interpersonal communication skills
- Ability to work independently and professionally in a fast-paced environment
- Ability to handle highly sensitive and confidential information with confidence and trust
- Successful record of managing multiple projects with proper prioritization and time management skills
- Understanding of P&L process
- Knowledge of insurance preferred
