Position Summary
The Office Manager is responsible for overseeing the daily administrative operations of the office to ensure a productive, organized, and efficient workplace. This role manages office supplies, vendor relationships, and facility needs while supporting staff with scheduling, correspondence, and general administrative tasks. The Office Manager also plays a key role in maintaining office policies and procedures, assisting executives with meeting and schedule planning, and serving as a point of contact for internal and external inquiries.
Success in this role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment while fostering a positive and collaborative office culture.
Key Responsibilities

- Manage office supplies inventory and place orders weekly
- Organize and maintain supplies
- Put supplies away when they arrive
- Order supplies for employees across the company and send them directly to remote employees homes
- Receive and sort incoming packages, mail and deliveries, and manage outgoing mail
- Assist Southfield Office Executives with scheduling meetings and office coordination
- Prepare and organize materials for meetings, including agendas, presentations, and minutes as needed
- Communicate with building management regarding any office maintenance issues
- Keep the kitchen organized on a daily basis
- Keep the general office areas, conference room, and supplies room organized
- Periodically order food for office meetings and hosting guests
- Support the planning and execution of company events, meetings, and office functions
Customer Support Responsibilities
- Correspond with customers by email via Zendesk to provide information and solutions about our products and services
- Data entry
- Keep records of customer interactions, recording details of inquiries, complaints, or comments, as well as actions taken - Collaborate with other departments to resolve customer issues
- Various administrative duties involving IMSE's internal system
Required Qualifications
- High school diploma or equivalent required.
- 2+ years of experience in an office management, administrative, or executive support role.
- Strong organizational and time-management skills, with the ability to prioritize and multitask.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), or Google Workspace, and general office equipment.
- Demonstrated ability to work independently and exercise sound judgment.
- Strong interpersonal skills and a professional, customer-service-oriented demeanor.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration or a related field.
- Prior experience supporting executives or senior leadership.
- Experience managing office budgets, vendor contracts, or facilities logistics.
- Familiarity with project management or scheduling software.
